Columbia, MD based company is seeking a dependable, outgoing and hard working individual to join our team as a full-time Receptionist / Administrative Assistant.
General Description
Professionally answer and direct incoming calls using a multi-line switchboard to customers. Greet customers and guests to the facility. Answer inquiries and obtain information for customers and visitors. Provide clerical assistance to customers, including typing letters, proposals and labels.
Detailed Work Activities:
- Route multi-line telephone calls
- Apply oral or written communication techniques
- Communicate with customers or coworkers to disseminate information
- Use computers to enter, access or retrieve data
- Distribute correspondence or mail
- Maintain conference room calendar
- Resolve customer or public concerns
- Greet customers, guests and visitors
- Operate business machines including but not limited to: computer, binding machine and postage meter
- Provide clerical assistance to customers, including but not limited to: typing letters, proposals and labels
- Assist with detail cleaning offices and all common spaces in the facility (to include kitchens, conference rooms, etc)
Tasks include:
- Operate telephone switchboard to answer, screen and forward calls.
- Schedule conference rooms and maintain and update calendar.
- Listen and resolve concerns from customers.
- Keep Office Manager up to date on all concerns customers have.
- Maintain appearance of work space in a professional manner and clear of clutter.
- Perform administrative support tasks such as proofreading, operating computers, binding machines, scales, calculators, etc..
- Perform duties such as taking care of plants and straightening magazines to maintain lobby or reception area.
- Greet persons entering establishment, determine nature and purpose of visit, and announce our client of their arrival.
- Process and prepare memos, correspondence, proposals, labels or other documents.
- Collect, sort, distribute and prepare mail, messages and courier deliveries.
- Manage supplies needed for USPS, FedEx, and UPS.
- Provide basic information about the customer by maintaining the client profile on file.
- Provide information about the facility including it’s’ surroundings, locations of other facilities, employees within the organization, and services provided.
The following knowledges are required:
- Knowledge of principles and processes for providing quality customer service.
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
The following knowledges are preferred:
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.

**Must have transportation to and from location. And be able to go to another Columbia MD location during the day if needed due to staff shortage.
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
