The Crew Training and Onboarding Specialist is responsible for the seamless coordination of crew member onboarding and training slot booking processes for aircraft conformity and crew acquisition. This role involves close collaboration with various departments, including Conformity, Crew Training and Records, Recruiting, Human Resources, and others, ensuring all procedures are followed efficiently and in compliance with regulatory requirements.
Tasks And Responsibilities
- Manage the end-to-end onboarding process for new crew members, ensuring compliance with DOT (135) and Non-DOT (91) regulations.
- Collaborate with HR, Conformity, and Sales to ensure smooth transition and integration of new hires.
- Coordinate drug and alcohol screening (D&B) within the required timelines.
- Communicate with Training Centers (FSI/CAE) to secure training slots and confirm schedules.
- Schedule EJM Indoc in conjunction with training slot dates.
- Training Slot Management
- Must be able to manage timelines effectively, especially concerning the 60-day training slot policy.
- Forecast out all crewmember training schedules for rolling two years.
- Book and manage simulator (sim) training slots, ensuring availability and compliance with entitlement contracts.
- Monitor and update training databases and spreadsheets to track crew training progress and slot allocations.
- Ensure all necessary prerequisites (IPC, CPDLC, ADS/B, etc.) are scheduled before training slot assignments.
- Documentation and Record-Keeping
- Maintain accurate records of crew certifications, training history, and compliance documents.
- Prepare and send welcome letters, onboarding checklists, and training materials to new hires.
- Update internal systems such as SharePoint, Training Database, and IJet with onboarding and training data.
- Interdepartmental Collaboration
- Liaise with departments including Conformity, HR, and Training Centers to ensure alignment and coordination.
- Participate in regular meetings (Conformity, EJM Training Needs) to provide updates and resolve issues.
- Work closely with the Chief Pilot’s office and Charter Managed Team Echo for specific crew and aircraft needs.
- Regulatory Compliance
- Ensure compliance with FAA regulations and internal company policies.
- Manage transitions between different operational categories (e.g., 135 to 91) in line with regulatory requirements.
- Collaborative work environment involving multiple stakeholders across departments.
- Organize and lead regular virtual and in-person meetings to ensure efficient coordination and problem-solving.

- Bachelor’s degree in Aviation Management, Human Resources, or related field experience preferred.
- Experience in crew scheduling, training coordination, or related roles within the aviation industry.
- Strong knowledge of FAA regulations, particularly Parts 91 and 135.
- Proficiency in using Microsoft tools: Microsoft Teams, Outlook, SharePoint, Lists, Power Automate and Access training databases.
- Excellent organizational and communication skills.
- Ability to work collaboratively across multiple departments and manage multiple projects simultaneously.
- Familiarity with drug and alcohol screening processes, and experience handling PRIA and other regulatory documentation is preferred.
