Position Summary
We are seeking a friendly and professional Receptionist/Office Assistant to join our growing team in a diversified and specialized financial services company. In this entry-level role, you will be the first point of contact for internal and external clients and visitors, providing exceptional customer service and administrative support to ensure smooth office operations. The ideal candidate will possess excellent communication skills, attention to detail and accuracy, organization and multitasking skills in fast paced environment, and a desire to learn about the trust and financial services industry.
Duties and Responsibilities
- Greet clients and visitors with a warm and welcoming demeanor, directing them to the appropriate team member or department.
- Answer incoming phone calls promptly and courteously, assisting with inquiries and transferring calls.
- Manage front office activities, including mail distribution, document preparation, scanning and saving documents in a paperless environment, and maintaining a clean and organized reception area.
- Assist with entering data in client relationship management (CRM) and trust accounting systems.
- Follow-up of completed documentation; set-up reminder and follow-up tasks in the CRM system.
- Perform general administrative tasks such as data entry, filing, photocopying, and scanning documents.
- Assist in scheduling appointments and managing calendars for team members.
- Always maintain confidentiality and privacy of sensitive information in accordance with company policies, procedures, laws and regulations.
- Manage office supplies and inventory, ensuring all necessary materials are stocked and organized.
- Help with the onboarding process for new clients, including preparing necessary documentation and forms.
- Support the team with various projects and tasks as necessary.
Qualifications
- Strong interpersonal and communication skills, both verbal and written.
- Ability to take the initiative; self-starter
- Ability to work independently and as part of a team in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams) and basic office technology.
- Excellent organizational and multitasking abilities, with keen attention to detail and accuracy.
- Ability to apply critical thinking and common sense
- A positive attitude and willingness to learn about the trust and financial services industry.
EDUCATION
- High school diploma or equivalent required.
EXPERIENCE
- Previous experience in a receptionist or office support role preferred but not required.
- Experience in the areas of banking, credit union, escrow services, title insurance, or real estate is a plus, but not required.
- Excellent organizational and problem-solving skills.
- Attention to detail and the ability to multitask effectively.
