Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills and a keen ability to manage various office functions effectively. This role is essential in ensuring that our office runs smoothly, supporting both staff and management in achieving operational excellence. The Office Manager oversees the use of studio spaces for the Dance Academy, studio rentals, and programming. Typically stationed in the lobby of Dance Place, the Office Manager often will be the first representative that our patrons encounter, and should be a warm, welcoming, friendly steward of our space. An ideal candidate for this role will demonstrate excitement and enthusiasm about interacting with the many people who call Dance Academy home.
Duties
- Manage daily office operations, including scheduling and overseeing administrative tasks.
- Maintain effective communication through phone etiquette and professional correspondence.
- Oversee payroll processes and ensure timely processing of employee compensation.
- Implement and manage medical office management procedures as required.
- Develop training programs for staff development and onboarding new employees.
- Coordinate calendar management for executives, ensuring efficient use of time.
- Manage vendor relationships, including negotiating contracts and maintaining service quality.
- Create and maintain organized filing systems for documents and records.
- Responsibilities include overseeing data entry, schedule management, and in person patron support.
- Communicate regularly and warmly with students of all ages. Communicate well with parents and families regarding classes, payments, Jackrabbit accounts, and other programming.
- Oversee and ensure accuracy of all data entry into Jackrabbitclass for youth and adult classes.
- Manage master class schedule.
- Ensure lobby and studio spaces are clean and welcoming at the onset of each shift.

- Substitute teaching and/or summer class instruction
- Studio programming outside of regular classes (i.e. parties, parades etc.)
Qualifications
- Proven experience in an office management or administrative role.
- Strong knowledge of office procedures and best practices.
- Excellent phone etiquette with strong verbal communication skills.
- Experience with payroll systems is preferred.
- Familiarity with medical office management is a plus.
- Ability to develop training programs and facilitate staff development initiatives.
- Proficient in calendar management with strong organizational skills.
- Experience in vendor management, including negotiation and relationship building.
- Strong interpersonal Experience in Communication skills of relevant professional experience a plus
- Proficiency in Google Suite (docs, sheets, forms), Jackrabbitclass, and other office software preferred
- Attention to detail with excellent time management skills
- Ability to work autonomously and in teams in a fast-paced environment
- Highly organized and creative with deep enthusiasm for the arts
