Office Manager
Job Overview:
We are seeking a detail-oriented and organized Office Manager to support daily operations, visitor engagement, and administrative tasks. This role involves managing office functions, assisting with marketing efforts, and supporting events and special projects.
Responsibilities:
- Operate and maintain office equipment, including computers, printers, and postage scales.
- Manage and organize files in Google Drive/Dropbox and maintain hard copy records.
- Utilize Word, Adobe, Excel, and social media platforms proficiently.
- Greet and assist visitors in person and over the phone with a professional and friendly demeanor.
- Keep brochures in the Welcome Center stocked, organized, and up to date. Maintain brochure inventory and distribution records.
- Track visitor data and update the database (Mailchimp).
- Support tourism-related events and activities, including event planning.
- Assist with marketing efforts, such as trade shows, fairs, festivals, and website event calendars.
- Maintain and promote itineraries for walking, driving, geocaching, and historic tours.
- Manage special projects as assigned.
- Replenish brochures at on-site and off-site distribution points as needed.
- Oversee Welcome Center maintenance, including office supply purchases and general cleanliness.
- Social Media proficient.
- Organize and maintain retail space, including inventory management.
- Assist in preparing monthly agendas and reports related to the role.
- Attend weekly staff meetings.
- Assist in planning and executing annual meetings.
- Attend community meetings as needed.
- Answer Welcome Center phone calls and respond to emails sent to info@armstrongcounty.com.
- Ensure accurate timekeeping using the designated platform.
- Work with the Director of Partnerships and Board President to ensure office coverage during operational hours (Currently Tuesday – Thursday, 10 AM – 4 PM; subject to change with Board approval).
Qualifications:
- Strong organizational and multitasking skills.
- Excellent communication and customer service abilities.
- Proficiency in Microsoft Office, Adobe, Mailchimp, and social media platforms.
- Experience with database management and event planning preferred.
- Ability to work independently and as part of a team.
Schedule:
- Part-time; office hours currently Tuesday – Thursday, 10 AM – 4 PM (subject to change).
This position reports directly to the Director.
Job Type: Part-time
Pay: $10.00 - $12.00 per hour
Expected hours: 18 per week
