We are looking for a Regional Onboarding Specialist to join our amazing team!

The Regional Onboarding Specialist is responsible for the smooth onboarding and integration of new employees across senior living communities within a designated region. This role focuses on ensuring a consistent, high-quality onboarding experience, fostering engagement, and promoting a culture of learning and development. The specialist will work closely with hiring managers, community leaders, and the people team to guide new hires through the onboarding process, ensuring they are well-prepared to succeed in their roles.

Principal Responsibilities :

Onboarding Coordination & Facilitation :

  • Lead the onboarding process for all new employees across multiple senior living communities, ensuring a seamless and engaging experience immediately after a candidate has been officially offered a role at ESL.
  • Develop and deliver onboarding programs tailored to senior living roles, ensuring new hires are equipped with the necessary knowledge, skills, and resources.
  • Schedule and coordinate orientation sessions, trainings, and introductions to key team members and departments.

Collaboration with HR & Leadership Teams :

  • Work closely with community leaders, HR, and hiring managers to ensure alignment on onboarding goals and timelines.
  • Partner with the HR and Talent Acquisition teams to create and execute onboarding plans for new employees based on their role and community needs.
  • Ensure compliance with all legal and regulatory requirements related to new hire documentation and training.
  • Responsible for creating and maintaining employee files, including New Team Member Experience Guides
  • Employee Engagement & Support :

  • Serve as a point of contact for new hires, providing support and guidance as they transition into their roles within the senior living communities.
  • Promote a positive employee experience by engaging new hires through consistent communication and feedback during their onboarding period.
  • Monitor new hire progress and offer ongoing support to both employees and their managers, ensuring successful integration into the team and culture.
  • Training & Development Support :

  • Partner with the Director of People & Culture to enhance and co-facilitate the new hire orientation program. Schedule new hires for the appropriate orientation session, organize and facilitate the delivery of the program on a biweekly basis.
  • Assist in the delivery of training programs and ensure new hires are set up for continued learning and development.
  • Collaborate with learning and development teams to ensure that all mandatory training is completed during the onboarding phase.
  • Conduct follow-up sessions with new hires to evaluate the effectiveness of the onboarding process and identify areas for improvement.
  • Process Improvement & Reporting :

  • Regularly evaluate the onboarding process, gathering feedback from new hires, managers, and community leaders to continuously improve the onboarding experience.
  • Maintain accurate records of onboarding activities, including tracking completion of orientation, training modules, and required documentation.
  • Provide regular reports on onboarding outcomes, new hire retention rates, and feedback to HR and leadership teams.
  • Culture Integration & Brand Ambassador :

  • Act as a cultural ambassador, promoting the values, mission, and vision of Experience Senior Living to new hires.
  • Foster a welcoming and inclusive environment that supports employee retention and engagement from day one.
  • Help new employees understand the company’s values and how they can contribute to creating a positive living and working environment for residents and staff alike.
  • Skills and Qualifications :

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • 3 years of experience in onboarding, training, or human resources, preferably within the senior living, healthcare, or hospitality industries.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines across various communities.
  • Excellent interpersonal and communication skills, with the ability to build relationships with new hires and stakeholders at all levels.
  • Experience with HRIS systems and onboarding platforms; proficiency in Microsoft Office Suite.
  • Knowledge of senior living industry regulations and compliance requirements is a plus.
  • High attention to detail and organizational skills.
  • Ability to work independently and collaboratively across multiple communities.
  • Strong problem-solving and critical thinking abilities.
  • Ability to adapt to different community cultures and needs.
  • Passion for fostering positive employee experiences and building a welcoming work environment.
  • Exercise discretion and independent judgement with respect to matters of significance.
  • Always provide outstanding service, both to internal and external customers.
  • Proactively build great working relationships with employees at all levels of the organization.
