What does the Engineering Services Project Coordinator do?
The Project Coordinator (PC) will touch many parts of the organization: Sales, Services, Finance, Inside Sales Engineers, and more to meet the deliverable required for the customer. We work on solution-based projects (hardware, software, and services within the process automation industry) and turn multiple components from a project into one solution for our customers.
The Engineering Services Project Coordinator will be supporting the Project Managers (PM). The PC will help work internally to provide value to the company while the PM manages customer expectations. To bring value, the PC needs to keep everyone updated on the project status. This role is not one for one and must collaborate with the other PCs and PMs within the company. This role will facilitate project kick-off meetings, project planning, status tracking, invoicing, and month-end revenue recognition activities.

Preparing billing to the customer.
Managing and expediting orders with Emerson Automation Solutions and other Suppliers to maintain schedules and meet customer expectations by developing relationships with supplier personnel.

Working with our fellow coordinators, service providers, and project managers as a team to get the job done.
Proactively looking for opportunities to improve our effectiveness in delivering value to our customers.
Effectively documenting and communicating project status to the Project Manager and key stakeholders.
Prioritizing various competing tasks and performing them quickly and efficiently according to their urgency.
Developing and coordinating all required documentation submittals, product status updates, shipping releases, shipping confirmation, and general order management communication in the business system.
Supporting the project staff by facilitating project logistics such as meetings, conference rooms, conference calls, taking meeting minutes to record action items, and performing basic follow-up.
Collaborating with fellow team members to effectively manage workload and priorities by communicating regularly with sales, warehouse personnel, finance, and factory representatives.
Analyzing, recommending, and implementing solutions to meet project requirements and meet schedules.
Understanding the processes, tools, systems, and technology to effectively manage order fulfillment, support schedules, and communicate problems and requirements effectively.
Reviewing order processing requirements and deadlines to ensure order entry is complete, product release, change order management, final release to manufacturing. Communicating these to Order Entry Associate and monitoring progress.
Effectively setting up new projects by creating checklists, scheduling, budgeting, and executing administrative tasks.
Analyzing, recommending, and implementing solutions to meet purchase order requirements and meet schedules.
Performing all duties defined by the PPS Manager in supporting the Project Execution Process including tracking and communicating project information, monitoring project data within the Experitec business system and issuing monthly project reports.
Performing Proactive Order Management (POM) and Order Entry for Process Systems Group (PSG) orders.
Supporting our Outage Manager’s efforts of the pursuit, preparation, execution, and follow-up of repairs and services.
Reviewing purchase orders received and developing a schedule of all order fulfillment activities, schedules, and processes to be utilized to meet customer’s requirements.
Documenting internal business processes and monthly time sheets.
Assisting with issuing purchase orders to vendors and subcontractors, creating shipping labels, notifying appropriate personnel when equipment is received and tracking incoming shipments.
Demonstrating a professional driven, positive and collaborative attitude and work ethic.
This position is part of our Engineering Services team within Experitec with the specific title of Engineering Services Project Coordinator.

Required Skills, Experience & Abilities:
One or more years of work experience.
Ability to plan and coordinate workflow while working efficiently and effectively within a business system.
Strong skills in Microsoft Office (Excel, Word, PowerPoint, etc.), Outlook email, and basic computer skills.
Ability to work onsite in the office Monday through Friday from 8am-5pm and to occasionally work additional hours upon request.
Strong ability to manage multiple tasks, projects, and competing priorities while coordinating timelines and communicating status updates in a fast-paced environment.
Ability to escalate issues appropriately and in a timely manner.
Strong out-front communication skills with the ability to collaborate externally with customers and internally with cross-functional teams.
Proven track record of taking direction and giving direction clearly over the phone and in person.
Ability to demonstrate a professional, driven, positive, and collaborative attitude and work ethic.
Ability to utilize personal vehicle for the majority of work travel AND ability to rent a car when requested by supervisor for work travel.
Ability to drive for the company with a valid driver’s license and the ability to pass driving record background check.
Ability to lift and move up to 10 lbs.
Preferred Skills, Experience & Abilities:
Bachelor’s degree or associate degree with two or more years of relevant work experience OR high school diploma with four or more years of relevant work experience OR equivalent combination of relevant experience and education.
Three or more years of experience planning and coordinating workflow.
Prior experience supporting Project Manager(s).
Advanced skills in Excel, Word, and PowerPoint.
Two or more years of work experience in in process automation, industrial, maintenance and/or manufacturing environments.
Track record of suggesting process improvements that impacted the business.
One or more years of experience with PowerBI.
Ability to use formulas in excel and/or format in Word.
One or more years of experience with SharePoint and/or Microsoft Teams.
