Expert Staffing is seeking an experienced Bilingual Administrative Coordinator to support our office in Holyoke, MA. This role will be temporary coverage with the possibility of becoming a permanent role.

Schedule: 8:30am-5:00pm Monday through Friday

Administrative Coordinator Responsibilities:

  • Greet candidates, clients, and visitors in a friendly and professional manner.
  • Answer and direct phone calls to appropriate team members.
  • Manage email inquiries and respond to basic questions regarding job openings, application statuses, and company services.
  • Ensure the reception area is tidy and organized at all times.
  • Receive and review job applications from candidates, ensuring all required information and documentation is included.
  • Conduct Everify and Background checks
  • Enter candidate details into the applicant tracking system (ATS) accurately.
  • Maintain and update candidate files in accordance with company policies and legal requirements.
  • Assist with scheduling interviews and candidate assessments as directed by recruiters.

Recruitment Support:

  • Coordinate with recruiters to ensure timely processing of applications and candidate follow-ups.
  • Provide administrative assistance to recruiters in managing candidate pipelines
  • Prepare and send out recruitment-related correspondence, including interview confirmations and job offer emails.
  • Maintain accurate records of all candidate interactions in the ATS and relevant databases.

Administrative Coordinator Skills and Requirements:

  • MUST be bilingual in Spanish/English
  • Previous Staffing experience a plus but not required
  • 2-3 years of administrative experience
  • MUST have experience using multi line phone system
  • MUST have experience with MS office
