Key Responsibilities
- Client Engagement: Reach out to clients 30 days before their event to introduce yourself and schedule a finalization meeting.
- Event Finalization: Host the finalization meeting at a time that suits the client’s schedule. Review event details, including menu selections, centerpiece and linen options, floor plans, and event timelines.
- Rehearsal Coordination: If the event includes a wedding ceremony, set up and host the rehearsal.
- Banquet Event Orders (BEOs): Create a detailed event order for the client, ensuring all details are captured and electronically signed.
- Client Communication: Serve as the main point of contact for the client from introduction through the conclusion of their event, answering questions and handling adjustments as needed.
- Event Execution: On the event day, ensure a seamless setup and provide hands-on support to the client.
- Tech-Savvy: Comfortable using a CRM system (Tripleseat preferred, training provided) for event management.
- Creative Skills: Proficient in Canva to create event signage and directional materials.
- Strong Communication: Confident, friendly, and able to engage professionally with clients and guests—both in writing and in person.
- Detail-Oriented: Understands that small details matter, such as correctly spelling and pronouncing a client’s name.
- Basic Math Skills: Able to process final payments, handle addendums, and adjust invoices for changes like increased guest counts or additional time.
- Flexible Schedule: Must be available for nights, weekends, and some office hours during the day.
