JOB SUMMARY
We are seeking a highly organized and detail oriented Logistics Coordinator to join our team. This role is responsible for managing the scheduling and dispatching of drivers, answering phone calls to take new reservations or to modify existing reservations and to ensure that all transportation runs smoothly and efficiently. Success in this role requires strong multitasking abilities, excellent communication skills and a commitment to customer service.
RESPONSIBILITIES
- Coordinate and schedule drivers for non-emergency wheelchair transportation based on client needs, appointment times and route efficiency.
- Monitor driver availability and adjust schedules to accommodate last minute changes or cancellations.
- Dispatch drivers in real-time, providing necessary updates and instructions to ensure smooth operations.
- Communicate clearly and effectively with drivers, managers and customers.
- Answer incoming phone calls to take new reservations, provide quotes or make changes to existing reservations.
- Gather and verify all necessary details, including pick-up/drop-off locations, appointment times and special requirements for the wheelchair accessibility.
- Document relevant information and trip details precisely and within a timely manner.
- Ensure accurate input of reservation details into the scheduling system.
- Provide professional, courteous and empathetic assistance to clients, addressing inquiries, concerns or complaints in a timely manner.
- Proactively communicate with clients about updates, delays or other important information related to their transportation.
- Address and effectively solve problems that may arise during a shift.
- Provide clear directions when needed.
- Utilize dispatching software, communication systems and other relevant technologies to enhance efficiency and accuracy.
- Maintain organized and accurate records of all reservations, schedules and dispatch activities.
- Collaborate with drivers and team members to resolve operational challenges and ensure client satisfaction.
- Track all drivers and their routes.
- Monitor the location of all vehicles and keys.
- Provide excellent customer service by addressing inquiries, providing information and ensuring timely responses to requests.
QUALIFICATIONS
- Proven experience in dispatching, scheduling or customer service roles, preferably in transportation or a related industry.
- Ability to handle multiple tasks simultaneously and prioritize them based on urgency.
- Strong verbal and written communication skills are essential for effective coordination and information exchange.
- Stress Management. Ability to remain calm and make quick decisions under stress is crucial during high pressure situations.
- Familiarity with the geographical area being served to efficiently dispatch vehicles.
- Proficiency in using dispatching software, communication systems and other relevant technologies, experience with Route Genie a plus.
- Work effectively with other dispatchers as well as managers, drivers and customers.
- Accurate record-keeping and attention to detail are important to ensure vehicles are dispatched accordingly.
- Ability to analyze situations and make decisions to address challenges and unexpected issues.
- Familiarity with non-emergency medical transportation or wheelchair accessibility services is a plus.
- Being Self-Motivated.
- Must Have at Least 1-Year of Dispatch Service
SCHEDULE
- Full Time / 9-hour shift / 5 days a week
- First Shift / 9:00am to 6:00pm / Monday – Friday
SALARY
- $22.00 / Hour
