What are the responsibilities and job description for the Office Manager position at Express Tax Solutions?
Express Tax Solutions is now hiring for an Office Manager. Office hours are Monday - Friday 9 am - 6 pm and Saturday 9 am - 2 pm. The Office Manager will be required to work every other Saturday and take one day off Monday - Friday of that week. This will likely turn into a year round position for the right person. Off season hours will be approximately 20 -30 hrs per week. Because this position has access to sensitive client information, a clear background is required and work references will be checked. Job Duties:
Greet and welcome guests as soon as they arrive at the office
Register clients upon arrival, gather their tax documents and organize into the client folder
Answer, screen and forward incoming phone calls
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Provide basic and accurate information in-person and via phone/email/social mediaFiling client files
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk.
Update calendars and schedule meetings
Perform clerical duties such as forms creation, creating Word documents, filing, Assisting other Departments with Clerical duties as needed
Skills:
Must have excellent customer service skills
Proven work experience as a Receptionist or Front Office Manager
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g. printers, adding machines, credit card machine)Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
High school degree; additional certification in Office Management is a plus.
Job Type: Full-time
Pay: $13.00 - $18.00 per hour
