Overall Purpose of the Job
Performs administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills are required, as well as Internet research abilities and strong communication skills. Staff in this category also may have the title of department assistant, coordinator or associate.
Key Activities And Accountabilities
Primarily assist Well Planners and Operations in an administrative capacity.
Must produce delivery tickets.
Open and maintain job folders.
Coordinates paperwork (i.e. material transfer) and communicates to return all 3rd party equipment back to appropriate service provider.
Follows up with PM to ensure their paperwork is submitted in a timely manner.
Checks all paperwork packets for completeness and accuracy.
Scans and ensures all documents are properly archived.
Must understand well bore construction terminology.
Must be able to visually identify common rental equipment.
Copies shop personnel’s submitted paperwork.
Shreds confidential documents when required
Must be able to identify MTR and difference between Yield and Tensile rating as listed on paperwork.
Assist with Accruals at the end of each month.
Keep up with daily cost tracker for rental tools.
Must work under the direct supervision of a manager level Operations person.
Fills in for receptionist when needed.
Creates PO’s for Operations.
Moves out of date documents to appropriate archive area for authorized storage.
Ensures accurate delivery dates and times are on all bill of lading sheets for inbound and outbound rental/sale equipment.
Attends sales/operations meetings and Records meeting minutes and takes notes.
Verify, prepare and submit requisitions and PO’s for office supplies, office expenses, shop supplies, tool R&M, transportation and communicate with vendors for quotes/invoices.
Work with QHSE to provide drug screenings documents (hair, alcohol, drug and physical), coordinate drug screening location, receive results and forward to HR/QHSE department
Assist corporate HR with new hire onboarding paper and electronic Workday documents: new hire packets, I-9 forms, W-4 election forms, confidentiality agreements, company policies. Fed Ex all completed paper documents and copies to HR department.
Assist new hires in the understanding of all documents and directories.
Assign new employee ID Time Clock System badges.
All other duties assigned by manager
Job Knowledge And Qualifications
High School Diploma or Ged equivalent from a state accredited institution
1 Year Administrative Assistant Experience Preferred.
Working knowledge of Microsoft Office with an emphasis on MS Word and Excel.
Computer literacy of database applications (such as MS Access) and presentation software (such as MS PowerPoint)
