PAY TYPE: $20.00 - $25.00 Per Hour

HOURS OF OPERATION: 8:00 A.M. – 5:00 P.M.

SCHEDULE: Monday – Friday

LOCATION: El Centro, CA

Job Overview

Exquisite Construction and Pools is seeking an organized and proactive Office Manager to take on all responsibilities and operations in our office. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently to keep the office organized properly.

The ideal candidate will be responsible for ensuring efficient office management, communicating with the Executive about multiple projects, keeping all billing up to date, and staying on top of all projects so they're organized. This role is essential for maintaining a productive work environment and ensuring the smooth functioning of our office.

Once hired you would be working side by side with the current manager to get familiarized with day to day tasks and responsibilities.

Responsibilities

  • Manage office operations activities, ensuring efficient operations and workflow and projects.
  • Reviews daily emails and prepares responses, coordinates appointments and projects for the executive calendar.
  • Maintain accurate up to date records of clients and projects using office management software and/or journal.
  • Maintain and manage weekly & monthly payables, office budget, payroll and ensuring project supplies are ordered timely along with keeping inventory of merchandise.
  • Prepare quotes and contracts, maintain up to date client invoicing of current and past due accounts.
  • Responsible for administrative and clerical duties, project administration, invoice preparation, budget tracking, contract review, coordinating with remote field staff and various other professional tasks.
  • Ability to work independently while managing multiple responsibilities and maintain confidentiality.

Qualifications

  • Experience or strong knowledge as an Office Manager or in a similar administrative role procedure.
  • Proficient computerized skills in office management software, including Microsoft and QuickBooks etc.
  • Excellent verbal and written communication skills. English (required) / Spanish (additional preferred).
  • Strong organizational skills with attention to detail and the ability to multitask.
  • Proficient in using standard office equipment and technology.
