Ravenscroft is an independent, coeducational day school in Raleigh, NC, with approximately 1,250 students in grades PreK-12.
Reports to: Head of Middle School
The Middle School Administrative Coordinator provides confidential, consistent and professional support to the Head of Middle School, Associate Head of Middle School and the Middle School faculty. This person provides excellent customer service to all parents, faculty, staff, and students with enthusiasm, patience, and helpfulness so that all members of the community feel welcome and taken care of with every interaction. The Middle School Administrative Coordinator takes initiative and positions the divisional leadership team to be positive, organized, and successful leaders of the Ravenscroft Community.
Work Hours and Expectations:
Non-exempt, 12-month administrative position; involves working early/late as needed.
Primary Responsibilities:
- Support the day-to-day operations of the Middle School and the Middle School Leadership Team
- Produce, manage, and/or distribute communications including calendar changes, absentee list, special schedules, weekly bulletins, etc
- Monitor the front office and the Middle School entrance; screen and transfer phone calls to the appropriate constituents, guide visitors through check-in process
- Monitor upcoming events on the All School Calendar and communicate and document changes; in collaboration with leadership, submit information for the Weekly Bulletin
- Coordinate and organize all divisional announcements
- Maintain an up-to-date Middle School calendar that reflects all programming, events, and meetings
- Coordinate substitute teacher needs; contact substitutes and arrange internal coverage, provide necessary materials, manage substitute folders; interview substitute applicants
- Generate and submit monthly faculty leave and substitute teacher compensation reports
- Manage business needs of the division
- Reconcile divisional credit cards
- Monitor and update the Middle School budget
- Update and maintain the school database including student schedules, attendance records, and grade reports
- Maintain confidential student files and records
- Coordinate all aspects of the Middle School end of year ceremonies
- Responsible for all opening of school and end of year checkout information for Middle School faculty, staff, and parents
- Create Teacher Lesson Planner and Student Lesson Planner
- Liaise with the Communications Department to ensure timely posting of Middle School materials and accurate information to website and parent portals
- Provide support to Middle School leadership team at parent and student events as needed
- Responsible for all facilities, fine arts, and technology work orders
- Sort and distribute mail

- Experience and confidence using technology with an emphasis on Google Apps for Education (Google Docs, Forms, Sheets)
- Experience preferred using Microsoft Office, Canva, and other relevant technology tools
- Experience with Canvas or other Learning Management Systems is helpful
- Ability to anticipate the needs of others and take initiative when needed
- Strong organizational and project-management skills
- Ability to exercise good judgement and comply with School standards
- Demonstrates the competencies in the School’s Citizen-Leader Framework
- Flexibility in work schedule, as needed
- Willingness to collaborate with other divisions and departments, and accept additional job duties as assigned
- Must be able to meet physical requirements of the position which includes moving tables, chairs, and equipment
Education Requirements: Four-year degree or equivalent education and or experience required; three to five years of administrative experience required with experience in education preferred
