Job description

We are seeking a highly organized individual to join the team as office staff. This position will involve overseeing daily office operations, managing financial reconciliation, coordinating administrative tasks, and providing support to various teams within the company. Other responsibilities will include greeting visitors, answering phones, directing calls and questions, clerical duties such as typing, filing, photocopying, and sorting. The ideal candidate will possess excellent communication skills, computer experience, a professional attitude, be highly organized, and have time management skills and the ability to multitask efficiently in a fast-paced office environment.

Core Responsibilities

  • Assistance to ensure smooth running of administrative activities
  • Coordinate office supplies and inventory, including ordering, tracking, and maintaining necessary stock
  • Maintain a clean, organized, and professional office environment
  • Facilitate questions regarding projects and research information as needed
  • Ensuring that assignments are executed with technical proficiency, accuracy, and professionalism
  • Assist with budgeting and tracking expenditures to ensure financial accuracy
  • Prepare financial reports and ensure all invoices and receipts are accurately processed and recorded
  • Support the leadership team with administrative tasks, such as preparing reports, managing correspondence, and creating presentations
  • Work closely with internal teams to ensure smooth coordination of office activities
  • Assist with file setup and filing
  • Maintain accurate filing systems, both digital and physical, for all office documents
  • Ensure all records are up to date and comply with company standards and legal regulations
  • Use and maintain technology
  • Make employee safety a priority both in-house and on-site, in accordance with corporate safety policy
  • Represent EE to clients in a professional manner

Position Requirements

  • Ability to communicate effectively (written and verbal) with co-workers, clients and subcontractors
  • Self-motivated to work with minimal oversight, but take direction effectively from managers
  • Drive to meet deadlines, both internally and externally driven
  • Serve as a main point of contact for all office-related inquiries and communication
  • Organize meetings, appointments, and events for the team and leadership
  • Manage office scheduling and coordinate travel arrangements for employees, as needed
  • Other project duties as assigned by senior staff

Qualifications

Education:

  • High School diploma or equivalent
  • Clean driving record required
  • Bachelor’s degree in Engineering, Sciences, Architecture or Construction Management preferred

Experience:

  • Proven experience as an Office Administrator, Office Manager, or similar role
  • Strong knowledge of office management and basic financial reconciliation
  • Familiarity with office management software (e.g., Microsoft Office, Dropbox, Teams, MS 365, Bluebeam, etc.)
  • Excellent organizational and multitasking skills
  • Strong attention to detail and accuracy in managing financial records
  • Good communication and interpersonal skills, with the ability to collaborate effectively with various teams
  • Ability to handle confidential information with integrity and discretion
  • Construction experience a plus.
  • Requires excellent technology, computer and document management proficiencies.
  • Pay Negotiable depending on experience.

Knowledge & Skills:

  • Efficient and positive attitude when approached with challenges and realities of construction management.
  • Proficient in computer operations and standard software packages (word processing, spreadsheets, Bluebeam)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Effective communicator; verbal and written
  • Ability to interact and work well with others to achieve desired results
  • Must be self‐driven and resourceful with the ability to solve problems
  • Strong organizational skills with a high attention to detail
  • An ability to manage multiple priorities in a fast‐paced environment

Special:

  • CPR/First Aid preferred, but not required

Physical Requirements:

  • Carry Office supplies and equipment (up to 30 pounds) into and around the office
  • Sitting for long periods of time

Job Type: Part-time

Pay: DOE $17-$28 per hour
