What are the responsibilities and job description for the Front Desk Receptionist position at Eye Care & Vision Associates (ECVA)?

Responsibilities:
- Welcome and greet all patients and visitors, in person or over the phone.
- Answer multi-line phone while maintaining a polite, consistent phone manner using proper telephone etiquette.
- Preliminary triage of emergency patient phone calls. Forward calls to the appropriate person or department.
- Schedule appointments.
- Patient check in and check out.
- Update existing patient demographics including personal, financial, and insurance information.
- Evaluate chart data to verify all information has been received, is complete, and signatures obtained.
- Ensure that proper authorization or referral is collected from the patient or assist patient in obtaining authorization or referrals that have not been received.
- If the doctor is referring the patient to another physician, call physicians’ office, arrange an appointment for the patient.
- Collect patient payments, record payments in the data base and provide the patient with a receipt.
- At the end of the day, reconcile all payments received and prepare bank deposit.
- Follow patient no-show policy.
- Process incoming and outgoing mail. Research correct addresses for returned mail, and update patients’ records.
- Maintain work operations by following compliance plan, policies and procedures.
- Facilitate patient flow by communicating with provider, patients, and clinical staff.
- Respond to patients', prospective patients, and visitor inquiries in a courteous manner.
- May be required to assist in practice Marketing Projects and Social Media Activities.
- Protect patient confidentiality.

- Highly organized with the ability to multi-task efficiently.
- Ability to follow written and oral instructions.
- Strong typing and computer skills.
- Ability to schedule appointments.
- Familiar with the requirements of the Health Insurance Portability and Accountability Act (HIPAA)
- Able to speak English fluently, bilingual in Spanish helpful.
- Willingness to occasionally travel between ECVA locations
Education and Experience:
- High school diploma or equivalent.
- Knowledge of general office procedures necessary.
- Previous office administration or receptionist experience in a medical office setting, Ophthalmology preferred.
