The Director, Finance Chief of Staff will serve as a trusted advisor to the EVP, Chief Financial Officer, providing support in driving key initiatives across the Finance organization. The role requires a strategic thinker with strong analytical, project management, and interpersonal skills who thrives in a dynamic and fast-paced environment.
Duties and Responsibilities
- Responsible for ensuring the EVP, Chief Financial Officer is fully prepared for meetings by preparing relevant materials. Manages and/or disseminates all incoming reports and meeting documentation.
- Support EVP, Chief Financial Officer in planning for and developing storyline and supporting materials (e.g., PowerPoint) for internal and external meetings and presentations
- Manage active calendar for the EVP, Chief Financial Officer, which includes coordination of all meetings, detailed domestic and international travel and management of expense details and submissions.
- Handles and prepares sensitive and confidential documents, letters, memorandums and reports.
- Research, prioritize and follow-up on incoming issues and concerns addressed to the EVP, Chief Financial Officer.
- Works closely with the EVP, Chief Financial Officer, to inform them of upcoming commitments and priorities and follows up as needed.
- Collaborate across multiple departments on special projects.
- Build and develop relationships at various levels in Finance for increased efficiency and effective responsiveness across functions. Ensure Finance Leaders and appropriately informed to drive effective and timely decisions within the Finance Department.
- Create and update dashboards for reviewing key performance indicators in partnership with Finance leaders.
- Serve as a member of the Finance Senior Leadership team.
- Handle inquiries and assist with development and dissemination of communication from the EVP, Chief Financial Officer.
- Develop recommendations to drive the improvement of current processes and coordinate organizational procedures for optimized efficiency and productivity.
- Address day to day items to build capacity for EVP, Chief Financial Officer and ensure appropriate resourcing and prioritization.
- Build trust and credibility across all levels of the organization.
- Serve as a trusted advisor to EVP, Chief Financial Officer.
- 8 yeas of experience in executive level or C Suite administrative support activities.
- Bachelor's degree required; advanced degree a plus.
- Experience with dashboards, scorecards and key performance metrics.
- Experience with project management, event planning, and Board of Directors interaction preferred.
- Experience arranging travel for executives and monitoring and processing travel expense reports.
- Insurance industry experience preferred.
- Excellent PC skills including proficient knowledge of MS Office (Outlook, Power Point and Excel)
- Strong organizational skills that reflect the ability to prioritize multiple tasks with excellent attention to detail.
- Strong project management skills.
- Ability to seamlessly change context of work throughout the day and year.
- Must have budget management knowledge and knowledge of accounts payable, billing procedures and expense reporting preparation and processing
- Willingness to pivot when enterprise priorities shift.
- Manage multiple tasks in a fast-paced environment.
- Revise/adjust workload to address and prioritize immediate needs.
- Flexibility with respect to working hours.
