Join Our Team as a Data Entry Clerk

The Data Entry Clerk is responsible for entering, updating, and maintaining accurate data in computer databases. The tasks include inputting data, verifying its accuracy, organizing information, updating records, and ensuring data is accessible and properly managed. Includes generating reports and handling sensitive information.

Data Entry and Management

• Accurately input and update inventory data into the warehouse management system (WMS).
• Ensure product quantities, descriptions, and location information are current and correct.
• Perform regular data audits to ensure accuracy and completeness of inventory records.

Inventory Tracking and Reporting

• Monitor inventory levels and update records for incoming and outgoing stock.
• Generate and review reports on stock levels, discrepancies, and trends to assist in inventory control.
• Report any inventory errors or discrepancies to management for immediate resolution.

Documentation and Record Keeping

• Maintain and organize physical and electronic files related to inventory, shipping, and receiving.
• Ensure all documentation (e.g., packing slips, order forms) is completed accurately and in a timely manner.
• Update and track purchase orders, shipments, and returns in the system.

Shipping and Receiving Support

• Assist in tracking shipments and deliveries, ensuring timely receipt and dispatch of goods.
• Verify shipping labels and addresses to ensure accurate deliveries.
• Prepare and process shipping documentation and labels.

Data Validation and Error Resolution

• Cross-check and validate incoming data to ensure consistency and avoid errors.
• Resolve data discrepancies and errors by communicating with team members or other departments.
• Follow up with vendors or suppliers to confirm data accuracy when necessary.

Inventory Control Support

• Assist in periodic inventory counts and audits to ensure system and physical stock alignment.
• Record and report stock discrepancies during audits or cycle counts.
• Communicate with supervisors or managers about low stock or overstock situations.

System Maintenance and Updates

• Ensure that all data entered in the system is up to date and aligned with the latest inventory movements.
• Work with IT or warehouse management software teams to address system issues or improvements.

Quality Control and Compliance

• Ensure data accuracy aligns with internal warehouse processes and company standards.
• Maintain confidentiality of inventory and operational data as per company policies.
• Follow safety protocols and regulatory requirements for data entry in a warehouse setting.

Collaboration and Communication

• Communicate effectively with warehouse managers, supervisors, and other team members to share critical inventory data and updates.
• Assist other departments with inventory-related information as needed (e.g., procurement, shipping, and sales teams).

Continuous Improvement

• Identify and suggest opportunities to improve warehouse data entry processes for efficiency and accuracy.
• Stay updated on new software, tools, or technologies that can enhance data entry and warehouse operations.

Requirements

Knowledge, Skills, and Abilities

• High School Diploma/Technical Degree
• Knowledge of manufacturing systems, including BOMs, routes, capacity, work orders, inventory control, and shop floor control.
• Ability to prioritize and meet deadlines within specified time constraints.
• Problem-solving skills, attention to detail, and effective work in a team environment.
• Ability to use the computer, including Microsoft Office applications
• Attention to detail.
