Title : Operations Back Office Specialist (Non-Exempt)
Reports To : Operations Manager
Position Summary
Performs routine clerical duties within the accounting and special services department. Responsible for back-office functions related to : report review and reconciliation, account administration, Share Draft program management, member disputes and claims, other member service phone calls, accounts payable / receivable. Also handles VISA & M / C, ACH, Wires, and online banking services. Works in a team environment of cross / trained professionals.
Primary Responsibilities
Realizes that Member Service is the top priority for this position.
Communicates with members and non- members, assesses needs, and assists or responds to inquiries mainly by phone and / or e-mail. Initiates member correspondence as needed. Assists with Home Banking inquiries.
Reviews periodic core banking system reports and general ledgers as assigned.
Accounts Payable / Accounts Receivable
Preforms Account Administration functions (membership, levy, deceased, reclamations, subpoenas, escheat, etc.)
Completes external reporting and communicates with 3rd party resources as assigned (chexsystems, bond claims, plastic card fraud / claims, insurance / protection products, ATM, and branch cash orders, etc.)
Administrates aspects of the VISA and Debit Card programs (reports, card orders / replacements, PIN orders, processing, Flacon verifications, travel updates, disputes, and tracking).
Serves as the custodian of Share Draft and ACH processing (check orders, return checks, posting, exceptions, returns, disputes, stop payments, RDC, etc.)
Cross sells all credit union products and services; refers members to appropriate departments as required or needed.
Performs such other duties as may be assigned from time to time.
Must comply with all company policies and procedures, applicable laws and regulations, including but not limited to, the Bank Secrecy Act, and the Office of Foreign Assets Control. Completes all required training as assigned.
Qualifications
Experience working in a Financial Institution (2 years). Must be familiar with basic banking accounts,
e-banking concepts such as : online banking, ACH, RDC, and Wires. Possess people persuasion skills and customer service attitude. Must have strong oral and written communication skills and maintain professionalism at all times. Must have keen computer data entry accuracy skills and have a good understanding of general business software programs and machinery. This position requires mental alertness to prioritize workload and complete daily tasks timely, in a fast-paced environment with multiple duties and member requests. Must be able to perform job functions independently and work effectively either on own or as part of a team. Must be able to read and carry out written instructions and follow oral instructions. Will interact with members and staff daily.
Physical Requirements :
Performs primarily sedentary work with limited physical exertion and occasional lifting to 20 lbs. Must be able to routinely perform work indoors in a climate-controlled office environment. Must be able to go up and down stairs / ladders when required. Must be able to routinely perform work on a computer (keyboard / ten key) for an average of 6-8 hours per day, when necessary. Must be able to operate routine office equipment (phone, copier, fax, calculator, etc.) Must be able to work extended hours when required or requested. Must be capable of regular and timely attendance.
