Job Description
The Scheduling and Purchasing Manager will be responsible for overseeing the end-to-end procurement and production planning processes, building and maintaining customer relationships, ensuring that materials are available when needed, and production deadlines and on-time delivery expectations are met. This role requires excellent organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. A key focus of this position is maintaining strong customer relationships through proactive communication and reliable service delivery, supporting operational excellence across purchasing, production, and scheduling functions.
Duties
Scheduling
- Develop and maintain detailed production schedules to ensure timely completion of projects and delivery to clients.
- Level load work centers by developing and executing capacity plans that balance labor and machine availability with production demand.
- Generate accurate work orders, including for rework, to support efficient production scheduling and on-time delivery.
- Schedule and coordinate the printing and production of work orders.
- Foster and service strong customer relationships through responsive communication, issue resolution, and reliable order fulfillment.
- Coordinate with the production team to prioritize jobs based on customer requirements and available resources.
- Monitor production progress and adjust schedules as needed to address any delays or changes in customer demands.
- Communicate production timelines and any potential delays to customers and internal stakeholders.
- Work closely with the Operations and Production teams to optimize workflow and minimize bottlenecks.
Purchasing
- Oversee vendor quality by initiating Corrective Action Requests (CARs), managing returns, and executing bill-back processes as needed.
- Procure raw materials and components and manage the full purchase order lifecycle from issuance through delivery and closure.
- Maintain and adjust Reorder Points (ROPs) to support optimal inventory levels and prevent stockouts or overages.
- Evaluate and select suppliers based on cost, quality, and delivery timeframes.
- Negotiate prices and contracts with suppliers to ensure the best value for the company; frequent negotiations expected.
- Monitor inventory levels and initiate reorders to maintain an adequate supply of materials, avoiding production downtime.
- Track orders & expedite as needed to meet shop needs.
- Track and analyze purchasing trends to identify cost-saving opportunities.
- Increase economies of scale by leveraging all F3 Metalworx divisions to achieve cost savings goals.
Administrative and Reporting Duties
- Prepare and enter customer purchase orders accurately by monitoring stock levels and/or MRP demand, with timely issuance of order confirmations to ensure alignment with customer expectations.
- Manage Sales Order (SO) reports to monitor order status, fulfillment progress, and address discrepancies proactively.
- Prepare regular reports for senior management on capacity, purchasing activities, production efficiency, and inventory status.
- Maintain accurate records of purchases, inventory levels, and production schedules.
- Monitor operation mechanisms; update weekly data inputs.
Qualifications
- Minimum of 3-5 years of experience in scheduling, procurement, or a related role in a manufacturing environment (powder coating or coatings industry preferred).
- Strong knowledge of production scheduling software and purchasing systems.
- Excellent communication, negotiation, and organizational skills.
- Ability to work independently and in a team-oriented environment.
- Detail-oriented with a proactive approach to problem-solving.
Preferred Skills & Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field (preferred).
- Experience in the powder coating industry is a plus, particularly with knowledge of procurement and managing of powder coating materials and production scheduling for multiple coating lines in a production environment.
- Familiarity with ERP systems or other inventory management software.
- Knowledge of industry best practices for procurement and scheduling.
