Summary

The Staff Accountant ensures accurate and compliant financial operations that support FACE Low-Cost Animal Clinic’s mission to provide accessible and affordable veterinary care. This role oversees financial records, prepares reports, and collaborates with internal and external stakeholders to maintain fiscal health and accountability of the organization.

Essential Functions:

Financial Reporting & Reconciliation:

  • Prepare financial statements including but not limited to income statements, balance sheet, budget-to-actual, and other reports for the finance committee, Board of Directors, and leadership team.
  • Reconcile bank, credit card, and investment-related statements in a timely manner.
  • Close books monthly and make necessary journal entries based on account changes or recommendations by external accounting firm.

Budgeting & Compliance:

  • Oversee the annual budgeting process, working closely with managers and other stakeholders to develop realistic and achievable budgets for each department and program.
  • Ensure compliance with local, state, and federal requirements, including preparation of 1099s and coordination with external accounting firm for federal 990 return.

Operational Accounting:

  • Maintain knowledge of acceptable accounting practices and procedures.
  • Perform general ledger, accounts payable, accounts receivable duties.
  • Manage daily banking procedures and maintain accurate financial records.
  • Coordinate with development staff to track and report fundraising income in accounting and development software accurately with monthly reconciliation.

Stakeholder Support:

  • Support the work of the finance committee by preparing reports, attending bi-monthly meetings, and presenting recommendations on short- and long-term financial objectives and policies.
  • Coordinate with external accounting firm for the annual financial review.

Other Responsibilities:

  • Work closely with managers on inventory controls and reporting.
  • Communicate with vendors and clients to resolve billing and payment issues.
  • Prepare various ad-hoc reports on an as needed basis.
  • Identify and implement improvements to internal department procedures.
  • Create and maintain department standard operating procedures.
  • Assist Human Resources with bi-weekly payroll.
  • Perform other related duties as assigned by management.

Education and/or Experience:

  • Bachelor's degree or five to seven years of related experience and/or training, or equivalent combination of education and experience.
  • Computer skills required. Software includes Microsoft Office, QuickBooks, and practice management software.
  • CPA preferred or actively pursuing.
  • Valid driver’s license.

Physical Demands and Work Environment:

  • Comfortable working around sick, injured, or unruly animals.

  • Continually required to talk or hear.
  • While performing the duties of this job, the noise level in the work environment is usually quiet to moderate.

Schedule:

  • Four-day workweek.
  • May require occasional evening and weekend hours.
  • Employee may work up to one day per week remotely.
