Facial Aesthetics, a leader in the medical spa industry, is seeking an experienced Clinic Manager to join our professional team!
The Clinic Manager is responsible for ensuring the front office runs smoothly, as well as managing each of the clinicians and Patient Care Coordinators. The Clinic Manager must be a strong people-person, and be comfortable managing a large group of employees.
Major Duties and Responsibilities:
Oversee and support day to day operations of the clinic
Ensure compliance and regulations of the clinic
Coordinate appointments and meetings while managing staff schedules
Supervise, mentor, train and coach the office staff and delegate assignments to ensure maximum productivity
Implement and enforce Clinic policies and procedures
Design and implement new systems with the Area Manager
Purchase office supplies and products, and maintain proper stock levels
Produce monthly reports on metrics for clinicians, new patients, and retention
Manage the clinics budget, including payroll, supplies, Inventory and other expenses
Meet one-on-one and in groups with all office staff to provide feedback, training, areas of improvement, etc.
Recruit and train staff based on utilization and demand of clinic
Foster a positive work environment
Maintain accurate inventory counts and levels
Meet goals and KPI's for the clinic
Ensure that office and clinical supplies do not exceed budget
Fluent and able to educate on electronic medical systems
Manage all patient issues
Oversee that leads and new patient metrics are being tracked properly
Conduct grass roots marketing and attend clinic events
Minor Duties and Responsibilities:
Greet patients, answer a high-volume of incoming phone calls, and deliver concierge service
Help at the front desk as needed
Observe Patient Care Coordinators to ensure expectations are being met
Be available for after hours emergencies
Communicate monthly marketing initiatives with all administrative and clinical personnel
Qualifications for Office Manager:
- Bachelor’s degree or equivalent
- Two years of experience in office management and sales
- Must have exceptional attention to detail
- Strong organizational and time management skills, and ability to prioritize
- Must be a self-starter and driven
- Excellent communication and interpersonal skills
- Strong problem-solving skills and analytical abilities
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
Job Type: Full-time
Pay: From $65,000.00 per year
