Job Summary

This role serves as the primary business manager for Event Services as offered by the company. The business objective is to increase brand awareness within the business and local community, encouraging participation in both daytime and after-hours events to drive opportunities and bookings to our event spaces. Key responsibilities include engaging with potential clients to drive meaningful event business and to manage all activities of our event business.

The Event Manager will take full ownership of sales, planning, operations, and profitability for our premium event venue. This role requires a strategic thinker who excels at driving revenue, optimizing pricing, vetting vendors, and ensuring seamless execution of professional and private events. Types of events include corporate meetings, networking functions, conferences, educational seminars, trade shows, business gatherings as well as galas, school banquets, and wedding dinner receptions.

The ideal candidate will be responsible for maximizing bookings, managing budgets, and ensuring a top-tier client experience while maintaining strong financial oversight of the venue’s operations.

Duties and Responsibilities

Sales Development and Profitability:

  • Develop and execute a sales strategy to maximize bookings and secure high-value professional events.
  • Identify and engage potential clients through networking, outreach, and strategic partnerships.
  • Set competitive and profitable pricing for venue rental, services, and add-ons based on market analysis.
  • Negotiate contracts to ensure profitability while accommodating client needs.
  • Develop upsell strategies for additional venue services, AV packages, catering, and premium experiences.
  • Monitor booking trends and adjust sales tactics to optimize revenue.

Budgeting, Pricing and Financial Oversight:

  • Maintain full financial oversight of venue operations, including event budgets and cost management.
  • Ensure cost effective event planning by negotiating vendor contracts and controlling expenses.
  • Analyze financial reports to track revenue, expenses, and profitability metrics for continuous improvements.
  • Implement pricing strategies for seasonal demand, package deals, and add-on services.
  • Ensure all payments, invoices, and financial documentation are accurately processed.

Vendor and Partner Management

  • Establish and maintain relationships with vendors such as high-quality catering, AV, décor, photography, security and other vendors.
  • Develop a thorough vetting process to ensure vendors meet venue standards and pricing guidelines.
  • Regularly assess vendor performance and negotiate preferred rates for long-term partnerships.
  • Ensure all third-party service providers comply with venue policies and quality expectations.

Event Planning and Execution

  • Collaborate with clients to design and execute seamless professional events.
  • Develop detailed event timelines, floor plans, and logistics schedules.
  • Oversee event setup, execution, and breakdown to maintain a consistent and high-quality experience.
  • Ensure all events comply with venue policies, safety regulations, and contract terms.
  • Act as the primary client contact before, during, and after events to ensure satisfaction.
  • Create proposals and maintain contact information, interactions, and opportunities in the company’s preferred software “Perfect Venue” to ensure accurate and comprehensive records.
  • Prepare and present regular reports on client activity and business opportunities to support strategic decision making.
  • Partner with internal teams to ensure seamless service delivery and operational efficiency.

Marketing and Brand Promotion:

  • Develop and implement a comprehensive marketing strategy to increase bookings and generate new business opportunities and increase company offerings.
  • Maintain persistent outreach through diverse communication channels and integrated marketing campaigns.
  • Oversee digital marketing efforts, including website content, social media, email campaigns and paid advertising.
  • Create promotional materials, sales presentations, and client proposals.
  • Create events to showcase the capabilities of the facility to prospective event planners and vendors.
  • Attend industry events, trade shows, conferences, and networking functions to build brand awareness and professional connections.
  • Manage online listings, event planning platforms, and partnerships to attract new clients.

Operation, Compliance and Venue Maintenance:

  • Maintain an organized booking system and event calendar.
  • Ensure the venue is always show-ready for tours and events.
  • Enforce venue policies, safety protocols, and legal compliance for all events.
  • Oversee staffing and scheduling for event support personnel.
  • Continuously improve venue operations and client experience.
  • Ensure client’s electronic devices are compatible and working for their events.
  • Have a working knowledge of the currently installed AV systems and their capabilities to ensure all devices are compatible and in working order for events.
  • Develop a thorough vetting process to ensure vendors meet venue standards and pricing guidelines.
  • Regularly assess vendor performance and negotiate preferred rates for long-term partnerships.
  • Ensure all third-party service providers comply with venue policies and quality expectations.

Qualifications

  • Experience: 5 years in event management, venue operations, or hospitality.
  • Business Acumen: Strong understanding of budgeting, pricing strategy, and revenue operations.
  • Sales and Negotiation: Proven ability to drive bookings and maximize revenue.
  • Vendor Management: Experience vetting, negotiating, and managing vendor partnerships.
  • Organization and Communication: Ability to multitask, manage details, and communicate effectively.
  • Tech-Savvy: Familiarity with event management software, CRM tools, and digital marketing platforms.
  • Customer Service Focus: Ability to build and maintain strong client relationships.
  • Problem Solving: Quick thinking and adaptable in high-pressure event situations.
  • Flexibility: Willingness to work evenings, weekends, and irregular hours as needed.

Physical Demand

  • Must be able to sit or stand at a desk or walking within the facility for up to eight hours a day.
  • Requires use of hands and body for moving furniture, equipment or décor for events.
  • Ability to view computer screen for up to eight hours a day.
  • Occasional bending, stooping, squatting, pushing, and ability to lift up to 60 lbs.
  • Driving to meet business demands and client needs.

Work Hours/Schedule

  • Primary office-based, with regular travel to client locations or industry events.
  • May require occasional evening or weekend work to meet client needs and attend events.
  • In-office location.

Job Type: Full-time

Pay: $62,400.00 - $75,000.00 per year
