OBJECTIVE |
The Dispatch Manager is responsible for overseeing the efficient and timely dispatching of buses on various routes, managing a team of bus drivers, monitoring driver schedules, ensuring compliance with safety regulations, and coordinating with other departments to optimize bus operations within a transportation system in the school district setting.
ESSENTIAL FUNCTIONS |
Dispatching Operations:
- Assign buses to routes based on schedules, driver availability, and real-time conditions.
- Monitor bus locations and arrival times using GPS tracking systems.
- Respond to route changes, delays, or emergencies by re-dispatching buses.
- Collaborate with district and campus to ensure transportation for special events and activities.
Ensure Proactive Bus Maintenance:
- Complete bus inspections daily and maintain results on file in ensuring the safety of passengers and the longevity of the bus.
- Maintenance files shall contain a written record of all mechanical work, service performed, and all the parts that are replaced or removed.
- A maintenance record shall contain at a minimum the year, make, model, vehicle identification number, mileage, bus number, nature and due date of the various inspection and maintenance operations performed, a record of all inspections, repairs and maintenance including date and nature of repairs and maintenance.
- An analysis of bus expenditure is to be maintained and reported to the Transportation Department and Administration.
Staff Management:
- Supervise and train bus drivers.
- Establish ongoing positive communication with bus drivers, parents, and students.
- Schedule shifts and ensure adequate staffing levels.
- Monitor weekly hours to remain at or under 40 hours.
- Review and coordinate weekly Time Clock Plus time sheets.
- Provide a detailed explanation for the administration weekly if the time exceeds 40 hours.
- Review bus cameras weekly to confirm compliance and safety.
- Document safety concerns and alert administration.
Route Optimization:
- Analyze ridership data to identify potential route adjustments for efficiency.
- Develop new routes or modify existing ones.
- Manage bus rotations and layover times to maximize vehicle utilization.
- Identify trends and areas for improvement in bus operations.
Compliance and Safety:
- Ensure adherence to all local, state, and federal transportation regulations, including driver service hours.
- Identify, address, and report potential safety concerns.
- Conduct regular safety training sessions for drivers and document for HR personnel record.
- Monitor bus cameras daily to ensure safe driving is consistent aligning with safety guidelines.
- Collaborate with district and campus instructional leaders to integrate student safety and behavior procedures.
Procurement Reporting and Analysis:
- Generate reports on key indicators (i.e., time performance, ridership numbers, fuel consumption, repairs, maintenance, etc.).
- Provide data-driven insights to management to support decision-making projects, goals, or issues.

PREFERRED EXPERIENCE |
- A minimum of three years’ experience in a bus dispatching role, ideally with supervisory experience.

REQUIRED EDUCATION, CERTIFICATION AND QUALIFICATIONS |
- High school diploma required.
- A bachelor’s degree in logistics, transportation management, or a related field is preferred.
- Bilingual preferred.
