JOB OVERVIEW
The Assistant Purchasing Manager supports the purchasing and procurement operations at Faena New York. This role assists in sourcing, ordering, receiving, and inventory control of supplies and equipment needed by all departments. The Assistant Purchasing Manager ensures compliance with internal controls, supports vendor relationships, and facilitates timely purchasing processes.
This position has an annual compensation of $80,000 per year.
DUTIES AND RESPONSIBILITIES
- Assist the Director of Purchasing in overseeing all hotel purchasing operations and ensuring timely fulfillment of departmental requisitions.
- Source vendors and obtain quotes for goods and services as required.
- Monitor inventory levels and assist with maintaining optimal par levels across all departments.
- Review and process purchase orders in compliance with company policies and budget guidelines.
- Work closely with receiving and storeroom teams to ensure proper goods inspection, storage, and rotation.
- Maintain and update product and vendor information in the purchasing system.
- Assist in conducting monthly inventory counts and audits.
- Support interdepartmental communication regarding delivery timelines, backorders, and substitutions.
- Assist with invoice reconciliation and liaise with Accounts Payable to ensure timely payments.
- Uphold purchasing and receiving protocols to maintain compliance with financial audits and procurement controls.
QUALIFICATIONS DESIRED
- Minimum 3 years of experience in purchasing or procurement within a luxury hotel or high-end hospitality environment.
- Knowledge of purchasing software and inventory control systems (BirchStreet, etc.).
- Strong understanding of purchasing procedures, vendor negotiation, and supply chain logistics.
- Excellent math, data entry, and reconciliation skills.
- Familiarity with local and national vendor markets, especially in food & beverage, maintenance, and housekeeping supplies.
- Associate or Bachelor’s degree in Business Administration or Hospitality Management preferred.
