JOB OVERVIEW
The Purchasing Manager for Faena New York is responsible for overseeing the procurement process of all goods and services needed to run the hotel efficiently. This includes working in collaboration with regional management, managing vendor relationships, negotiating prices, ensuring quality standards, and maintaining an adequate inventory of supplies. The Purchasing Manager ensures the hotel’s operations are well-stocked and cost-effective, while maintaining high-quality standards.
This role is essential to maintaining smooth operations at the hotel, ensuring that all departments are equipped with the necessary resources while staying within budget.
This position has an annual compensation of $125,000.
DUTIES AND RESPONSIBILITIES
- Identify and source vendors for hotel supplies, including food and beverages, linens, cleaning products, maintenance equipment, and more.
- Negotiate pricing, terms, and delivery schedules with suppliers to ensure the best value for the hotel.
- Develop and implement procurement strategies to maximize cost savings while maintaining product quality and availability.
- Monitor inventory levels regularly to ensure adequate stock for hotel operations.
- Maintain accurate inventory records and work closely with various departments; collaborating with chefs, housekeeping, maintenance and other departments to anticipate needs and avoid shortages.
- Oversee inventory audits and address discrepancies as needed.
- Build and maintain strong relationships with key suppliers and vendors to ensure timely and efficient delivery of products.
- Resolve any issues with suppliers, including delays, quality concerns, or billing discrepancies.
- Assist in developing and adhering to the hotel’s purchasing budget.
- Track purchasing expenses and analyze spending patterns to ensure cost efficiency.
- Review and approve purchase orders in accordance with budget limits.
- Ensure all purchased products meet the hotel’s quality standards and regulatory requirements.
- Maintain records of purchasing activities for compliance and audit purposes.
- Stay updated on industry trends and best practices in purchasing and supply chain management.
- Collaborate with the finance department to reconcile invoices and manage vendor payments.
- Work with the hotel’s management team to identify supply needs and develop solutions for any operational challenges.
- Provide leadership, direction, and training to receiving agents.
QUALIFICATIONS DESIRED
- Bachelor’s degree in business administration, Supply Chain Management, or a related field preferred
- Proven experience as a Purchasing Manager or in a similar role within the hospitality industry.
- Strong negotiation, analytical, and communication skills.
- Excellent organizational and time-management abilities.
- Ability to work well under pressure and meet deadlines.
- Knowledge of inventory management systems and procurement software.
