Summary
The Shared Services Coordinator provides various administrative support across our entire organization while maintaining confidentiality, ensuring compliance with multi-state labor laws, and administering various HR programs while delivery exceptional customer service.
Principle Duties and Responsibilities
- Act as first line of support for all general HR inquiries regarding programs, policies and procedures; directing individuals to appropriate resources and answering questions in a timely and complete manner.
- Review/approve data entry transactions which are part of all aspects of the employee life cycle such as pre-boarding, terminations, and status changes in the HRIS system.
- Administer leave of absence, STD, LTD, and FMLA programs in accordance with internal policies, external vendor and state regulations.
- Assist with various benefits projects such as our open enrollment process.
- Continuous evaluation of HR processes or practices to identify improvement opportunities.
- Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in payroll system for payroll deduction.
- Reconcile invoices and resolve billing concerns with HR vendors.
- Prepare, maintain and update weekly employee headcount report, organizational charts and other requested reports as needed.
- Help maintain HR files, benefit documentation and other employee communications.
- Perform various HRIS and benefit audits.
- Manages confidential and sensitive employee information and adheres to strict data privacy standards.
- Assists with the employee engagement and employee recognition initiative program(s).
- Perform other duties as assigned.
- High school diploma or GED required
- Minimum of 2 years in employee HR experience
- Extensive knowledge of employee HR benefits and applicable laws
- Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint)
- Ability to prioritize and handle multiple projects/responsibilities
- Ability to handle sensitive information while maintaining a high degree of confidentiality
- Ability to develop and deliver communications to all levels of the organization.
- Strong work ethic with the ability to maintain a positive attitude in a fast-paced, growth environment
- Proven ability to establish effective working relationships at the executive and working levels of internal and external organizations
- Excellent organizational, analytical, quantitative and problem-solving skills
- Excellent presentation, written and verbal communication skills
- Serves as a flexible and adaptive member of the Human Resources team
- Overtime may be required
- Beloit Wisconsin – Onsite (Remote is not an option)
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at a time
