Position Title: Administrative Assistant

Location: Rec-Pac Office, Herrity Building; 12055 Government Center Parkway, Fairfax, Va.

Hours: This is a seasonal position which is scheduled 20 to 40 hours per week. Position requires some evening and weekends to attend and support open hires and other recruiting events.

· March to April: 20 to 30 hours.

· May to August: 40 hours per week.

Salary: Starting at $20 per hour, depending on experience and certifications.

Overview: This position is responsible for managing the time and attendance process for the Rec-PAC program. The Administrative Assistant will provide administrative, time entry and personnel management support throughout Rec-PAC’s operational season, May until September.

Duties Include:

· Manage timesheets and time entry for pre and post season staff, as well as time entry for over 250 seasonal staff during the summer.

· Composes routine correspondence on behalf of the Program Manager.

· Assists with training and orients new employees.

· Complies with all County and department personnel policies and procedures.

· Assists with scheduling and coordinating mass hiring events.

· Work closely with the Rec-PAC Program Manager and FCPA HR staff.

· Sends staff notices to complete mandatory training.

· Assist the Hiring Manager with interviews and hire paperwork.

· Support outreach events, open hires and interview sessions.

· Works with Hiring Manager with placement of staff.

· Assists with managing the documentation of employee trainings and certifications.

· Provides administrative support and implements procedures.

· Provides and explains relevant policies and procedures.

· Work to maintain an efficient and cooperative atmosphere among team members.

· Registers participants for camp.

· Provide customer service to families via phone and email.

· Complete other duties and tasks as assigned.

Preferred Qualifications:

· Proficiency in Microsoft Office Suite – Excel, Word, and Outlook.

· Experience with hiring seasonal staff.

· Strong communication and organizational skills.

· Able to work in a fast-paced environment.

Note: This position may not exceed 900 hours per calendar year. Individuals in these positions are not eligible for benefits and are not eligible to earn leave or receive holiday pay.

Job Type: Part-time

Pay: From $20.00 per hour

Expected hours: 20 – 40 per week
