Orthodontic Patient Coordinator

$20/hr | Full-Time | No Experience Required

We’re seeking an energetic, detail-oriented, and personable individual to serve as the welcoming face of our clinic. With comprehensive training provided, no prior dental or medical office experience is needed—just your positive attitude and dedication.

Your Role:New Patient Coordination

  • Warm Welcome: Greet new patients and ensure they feel at ease from their first interaction.
  • Data Collection: Gather essential patient information, including medical and dental histories, and accurately enter it into our system.
  • Patient Guidance: Explain our registration process, address any concerns, and provide clear instructions for upcoming visits.

Insurance Verification

  • Coverage Confirmation: Communicate with insurance providers to verify patient coverage and benefits efficiently.
  • Accurate Processing: Ensure all insurance data is updated and correctly recorded, minimizing errors and streamlining patient care.
  • Problem-Solving: Collaborate with both patients and insurance companies to resolve any coverage or billing issues that arise.

Appointment Scheduling

  • Calendar Management: Efficiently manage our appointment system to balance patient needs with clinical availability.
  • Flexibility: Coordinate with patients to select convenient times and adjust schedules for emergencies or follow-up treatments.
  • Reminders & Follow-Up: Send timely reminders and follow-up communications to reduce no-shows and keep our schedule running smoothly.

Front Desk Operations

  • Patient Interaction: Be the first point of contact by greeting patients warmly, answering inquiries, and providing exceptional customer service.
  • Communication Hub: Handle incoming calls, emails, and other communications, ensuring that every patient feels valued and heard.
  • Administrative Support: Maintain organized records, manage filing systems, and keep the reception area professional and inviting.

  • Positive Demeanor: A friendly, upbeat attitude that helps create a welcoming environment for patients.
  • Effective Communicator: Excellent verbal and written communication skills to interact clearly and compassionately with patients, colleagues, and insurance representatives.

Technical & Organizational Abilities

  • Computer Savvy: Basic proficiency in computer use with a willingness to learn new software systems (experience with Ortho 2 is a bonus, but not required).
  • Detail-Oriented: A meticulous approach to data entry, scheduling, and record-keeping to ensure accuracy in all tasks.
  • Problem Solver: Ability to quickly and effectively resolve issues, ensuring a smooth experience for both patients and staff.

Dependability & Work Ethic

  • Reliable Transportation: Must have dependable transportation to maintain punctuality in this in-office role.
  • Consistent Availability: Committed to working Monday through Friday (4 clinical days, 1 non-clinical day) to support the needs of our practice consistently.

Job Type: Full-time

Pay: $20.00 - $22.00 per hour

Expected hours: 35 – 40 per week
