Job Summary
The Loan Officer Assistant is responsible for providing essential support to one or more Loan Officers, and Branch 961 overall, ensuring a high level of customer service, an exceptional mortgage experience to clients and the efficient and smooth processing and closing of loan applications.
Job Functions
Essential Job Functions
· Loan Officer Support (30%)
o Connects with new clients and executes branch intake process.
o Prepares loan applications by collecting necessary supporting documentation and information from clients. Including updating CRM and Mobile App with client information and task details.
o Reviews loan files and information for completeness and accuracy.
o Follows up through intake and pre-approval stages on missing documents and information while pulling clients through the process with a goal of getting them pre-approved.
o Pre-approves customers using automated underwriting systems (AUS).
o Delivers pre-approval packages to clients after LO review.
o Collaborates with processors, closers, and attorneys to facilitate loan closings.
· Customer Service (30%)
o Answers general customer inquiries regarding process and scheduling.
o Calls new clients back to schedule intake call and connect with Fairway (Speed to Respond)
o Communicates with customers, real estate agents, title companies, and insurance agents to keep them informed about loans in process.
o Coordinates and schedules loan closings.
o Assists in escrow holdbacks, post-closing condition fulfillment, renovation loan post-closing process,
· General Support (30%)
o Maintains Loan Officer databases and Branch CRM.
o Assists with marketing campaigns, including email and direct mail.
o Stays updated on market trends and product knowledge.
o Performs various administrative tasks, such as scheduling, emailing, and making phone calls.
o Assists in escrow holdbacks, post-closing condition fulfillment, renovation loan post-closing process,
· Special projects as needed (10%)

Requirements
Required Knowledge and Skills
· Solid knowledge and understanding of business, sales, and operations.
· Some financial background or relevant financial experience.
· Detail oriented, self-motivated, and productive worker.
· Strong time management and communication skills.
Additional Knowledge and Skills (required by end of probationary period)
· Solid knowledge and understanding of mortgage lending processes, procedures and regulations.
· Proficiency using loan origination software such as Encompass.
· An in-depth knowledge and understanding of a variety of loan programs including Conventional, FHA, USDA, VA, VHFA, renovation, Non-QM, and secondary lien guidelines to manage complex loan level issues.
· Solid knowledge and understanding of mortgage-related terms, such as escrow, taxes, closing documents and insurance.
Education
· High School or GED
Additional Education Requirements
· NMLS licensed, not required but preferred.
Preferred Experience
· 1 years of related experience.
· Demonstrated experience working in a fast paced and changing environment.
· Demonstrated experience analyzing and interpreting data.
· Demonstrated experience effectively managing relationships with internal and external partners.
· Demonstrated experience researching information, problem solving and making solid business decisions.
· 1 years mortgage lending or related sales experience.
· Demonstrated experience in retail loan origination.
· Demonstrated experience using Encompass LOS
Physical Environment
This is a hybrid position that offers remote flexibility and will also require some in office time. Access to a quiet space at home and reliable internet is required. Training will likely require more in office time.
