Job Title: Accounting Associate
General Description
Job Summary:
The Accounting Associate is responsible for maintaining financial records, running reports, and recording a wide range of transactions. Their duties include providing administrative assistance as well as preparing statements that confirm the accuracy of database information. This person uses accounting software to process business transactions, like accounts payable and posting receipts for products sold or services rendered. This person conducts themselves with empathy when following up with clients to ensure timely payment of outstanding invoices. The Accounting Associate will ensure that the company’s daily accounting functions run accurately and effectively.
Reports to:
FCA Head of School & LW Executive Pastor
- Will take daily direction for scope of work from the Senior Accounting Manager.
Supervises:
This is not a supervisor position although this person will assist in the training of new employees and may be required to assist a supervisor in certain duties.

Job Requirements
Education:
High school diploma or equivalent required.
Experience:
Experience: 1-2 years of relevant accounting experience (internships or part-time experience may be considered).
Preferred:
- Experience with financial reporting or assisting with audits.
- Basic knowledge of regulatory standards, such as GAAP (Generally Accepted Accounting Principles).
- Associate’s degree in accounting, finance, or a related field, or equivalent experience.
Skills:
- Proficiency in Accounting Software: Familiarity with common accounting software such as QuickBooks, Microsoft Excel, or other financial management tools.
- Data Entry Skills: Attention to detail for accurate financial data entry, managing spreadsheets, and maintaining records.
- Analytical Skills: Ability to analyze financial data and identify discrepancies, ensuring accuracy in reports and statements.

Essential Job Responsibilities
Customer Relations
- Confer with customers (primarily parents and scholarship organizations) by telephone or email to provide information about products or services and to obtain details of complaints.
- Listen to customers’ concerns, issues, and questions and resolve them to your best ability.
- Check to ensure that appropriate changes were made to resolve customers' problems.
- Maintain a positive attitude and calmly respond to customers’ complaints.
- Responds to or follows up with customers in a timely fashion.
- Works our financing terms with customers and keeps track of accounts receivable balances. Also, provides families with periodic statements of their balance.
- Assist customers with setting up payment plans.
- Refer issues and questions to managers if necessary.
Financial Management and Reporting
- Prepares asset, liability, and capital account entries by compiling and analyzing account information.
- Summarizes current financial status by collecting information. Prepares standard financial reports (Balance sheet, Statement of Activities, and Statement of Cash Flows).
- Assists with creating and updating non-standard managerial accounting reports as needed.
- Research and resolve account discrepancies.
- Secures financial information by completing database backups.
- Prepares payments by verifying documentation and requesting disbursements.
- Remits applications for reimbursement related to all funding sources.
- Coordinates with agencies to provide timely information so that reimbursements are not delayed.
- Operates within GAAP standards for non-profits.
- Proficient in the use of Quickbooks.
- Assist the Director of the Advancement Department with financial reporting and data entry into the donor database platform
Compliance and Internal Controls
- Maintains financial security by following internal controls.
- Maintains compliance with the Florida Department of Education related to scholarships.
- Avoids divulging sensitive or confidential information unnecessarily.
- Maintains customer confidence and protects operations by keeping financial information confidential.
- Maintains the confidence of supervisor and board by presenting timely and accurate reports.
Team Collaboration and Support
- Makes a collaborative effort to achieve business goals as a team.
- Adapts well to other duties as assigned by the Head of School/Executive Pastor.
- Assist fellow co-workers by providing answers to questions related to pay and other benefits.
- Maintains positive working relationships with co-workers, supervisors, and the FCA Board.

- Obtains information from other departments to ensure records are accurate and complete.
- Maintains proficiency in current office policies and procedures while acting in accordance with applicable state laws.
