Job SummarySeeking a dedicated and experienced site manager to oversee the daily operations and management of our property. The ideal candidate will have a strong background in legal administrative tasks, customer relationship management, and property leasing.
Site Management Description
Responsible for overseeing and ensuring smooth day-to-day operations of two (2) RV Parks to support the overall operations of the businesses. The manager will work onsite to manage daily park activities and promote a positive environment for all current and new tenants. Basic maintenance skills and handyman experience is a plus for this position to assist around the properties and tenants with basic needs. Large repairs are to be contracted out to prior approved vendors. This is a hands-on position that requires adaptability, excellent communication skills, and a proactive attitude. This position is an administrative/ basic maintenance position with daily duties including but not limited to the following:
**Responsibilities**
- Collecting rent from tenants.
- Handling evictions if necessary.
- Ensuring 100% occupancy in both parks.
- Communicate with the main office on a day to day basis to ensure the efficiency of both businesses.
- Monitor park email accounts, websites and other accounts and respond to inquiries as needed.
- Maintaining cleanliness and orderliness of the parks.
- Addressing tenant concerns and complaints in a timely and efficient manner.
- Coordinating repairs and maintenance with correct personale/ vendors.
- Marketing available spaces/ parked owned units to ensure 100%h100% occupancy rates.
- Managing administrative tasks related to park operations.
- Provide exceptional customer service by addressing tenants' inquiries, concerns, and complaints in a timely and professional manner.
- Answer phone calls and respond to inquiries in a professional and courteous manner.
- Maintain knowledge of property management laws, regulations, and best practices.
- Utilize software/applications such as google sheets to manage resident information.
- Keep an up to date contact spreadsheet for all current tenants.
- Build positive relationships with residents and vendors.
- Assist with marketing, showing, and upkeep of spaces for rent within the park.
- Meet with prospective residents and complete the rental process.
- Collect rent, ensure timely revenue collections and sustain collects rates of 100%.
- Enforce rules and regulations of the community.
- Communicate both verbally and through the use of written notices with the tenants.
- Clean laundry room and other common areas such as bathrooms, sitting areas, walkways, courtyard ect..
- Complete work orders and rental turns, such as changing out meters, replacing plugs and other small tasks needed.
- Daily site property walks, picking up trash, and debris.
- Maintaining park owned tools and maintenance equipment and keeping the maintenance room in neat condition at all times.
- Touch-up painting and repainting buildings exterior/interior as needed.
- Open clogged drains, fixes leaks, and performs other simple plumbing tasks. (Receive authorization for manager, then called preferred plumbing vendor for all other extensive plumbing issues.)
- Change light bulbs may replace simple light fixtures and perform small minor electrical tasks.
- Perform simple carpentry tasks, such as installing doors, repairing steps. Fences and rails.
- Assist with leasing activities such as processing applications and preparing rental/lease agreements.
- Perform administrative tasks such as filing, data entry, and preparing reports.
- Manage vendor relationships and oversee contract negotiations.
- Collaborate with upper management to develop and implement strategies to optimize park occupancy, revenue generation, and tenant satisfaction.
- Conduct regular inspection of parks facilities, grounds, and amenities to ensure cleanliness, safety, and compliance with park standards and regulations.
- Assist with managing parks finances, including budgeting, expense tracking, and revenue reporting.
- Coordinate with vendors, contractors and service providers to ensure timely completion of maintenance and repair projects.
- Act as liaison between parks offsite management, tenants and contractors to facilitate effective communication and problem resolution.
- Stay informed about industry trends, regulations, and best practices to continuously improve park operations and tenant experiences.
- Minors hands on repairs as needed.
- Ensures all decisions are made in the best interest of the RV park. Deliver RV park budget goals and assures other short term strategic goals set are achieved. Develop improvement actions, weighing out cost savings
- Understanding of P&L statements
- Meet with vendors and contractors as needed
- Forecast business trends and provide reasoning and curers for situations where improvements are needed
- Respond to questions and complaints in a timely manner
- Contact tenants to address any issues that require immediate attention
- Email office a list of inventory needed to be ordered or considered for purchasing Provide a brief explanation
- Obtain estimates for repairs or jobs as needed
- Process new applications for tenancy, including background checks and file maintenance
- Manage calendars and perform general administrative tasks
- Have excellent time management skills
- Actively communicate with the Home Office when items need to be restocked or facilities require repair or maintenance
- Perform regular inspections of property; repair and report ,maintenance of property and equipment as necessary. Request assistance from property personnel as needed
- Maintain a safe, friendly, and welcoming environment to all tenants & guests
- Handle Section 8 housing requirements efficiently
- Resolve tenant conflicts and issues in a professional manner
- Manage all aspects of the property, including leasing, maintenance, and tenant relations
- Ensure compliance with Fair Housing regulations and company policies
- Handle lease agreements, renewals, and terminations
- Conduct property inspections and address maintenance issues promptly
- Maintain accurate records of all transactions and interactions with tenants
Skills
- Proficiency in Yardi or similar property management software.
- Strong understanding of contract management and administrative tasks.
- Knowledge of Fair Housing regulations and legal requirements.
- Excellent phone etiquette and communication.
- Ability to manage customer relationships effectively.
- Experience in conflict management and problem-solving.
- Proficient in cloud based programs to create, store, and collaborate on documents. Cloud based programs: Google Sheets, Google Docs, and Google Drive.
