What are the responsibilities and job description for the Administrative Assistant position at Families, Inc. Counseling Services?
The Administrative Assistant provides administrative support to staff members.
- Represent Families, Inc. in person, over the telephone and in the community in a professional manner.
- Facilitates client discharge instructions, two-week discharge letters, and PCP progress summaries in the electronic medical record, as applicable.
- Serves as a back-up to the Administrative Assistant and Clinical Assistant in all support service areas.
- Updates assigned reports as needed.
- Other duties as assigned.
RFS
- Verifies insurance, obtains PCP referrals, and requests PCP Referrals on current clients and notifies CS, MHP, QBHP when the request has not been returned in a timely manner.
- Attaches documentation to client’s electronic medical record via scanning.
- Obtain accurate and complete Request for Service information (RFS) and follow the RFS through to becoming an active Client or declined RFS within a timely manner.
MRA
- Processes release of information requests in a timely manner using the client contact section of the electronic medical record to monitor the requests.
- Responsible for maintaining medical records for the outpatient clinic.
- Attaches documentation to client’s electronic medical record via scanning.
- Maintains necessary quantities of paper forms in designated area.
EXPERIENCE
One year of experience in an office environment is required.
Healthcare office environment experience is preferred.
JOB SKILLS
Required: Ability to retain confidentiality and ability to perform several tasks simultaneously. Ability to deal effectively with clients, professionals, and staff.
Preferred: Proficient typing skills, excellent spelling and grammar skills, strong organizational skills, knowledge of Microsoft office software.
