Job Description:
A medical receptionist serves as the first point of contact between patients and healthcare providers. This role involves managing administrative tasks, maintaining patient records, scheduling appointments, and ensuring the office runs smoothly. The medical receptionist must provide excellent customer service, maintain confidentiality, and work collaboratively with medical staff to ensure a positive patient experience.
Key Responsibilities:
· Patient Interaction: Greet patients warmly upon arrival, obtain personal and insurance information, and direct them to the waiting area or patient room.
· Appointment Scheduling: Answer phone calls, schedule, reschedule, or cancel appointments as needed, and manage appointment calendars for medical staff.
· Patient Check-In: Verify patient insurance details and demographic information, collect co-pays or balances, and provide necessary forms to patients.
· Records Management: Update and maintain accurate patient records, input new patient data, and ensure patient files are complete and filed appropriately.
· Communication: Answer phone calls, emails, or messages, respond to patient inquiries, relay information between patients and healthcare providers, and provide instructions or follow-up care information.
· Medical Billing: Assist with billing and insurance verification, process billing inquiries, and ensure that all necessary insurance information is provided for claims.
· Office Organization: Maintain a clean and organized front desk, ensure office supplies are stocked, ensure needed supplies are documented, and help coordinate office schedules and activities.
· Confidentiality: Adhere to HIPAA regulations and confidentiality protocols, ensuring that patient information is securely stored and handled.
· Other Administrative Support: Perform additional clerical duties, such as faxing, filing, scanning, and handling incoming mail.
Required Skills & Qualifications:
· High school diploma or equivalent (Associate’s degree or higher preferred).
· Previous experience in a medical office, healthcare setting, or customer service role preferred.
· Strong organizational and multitasking skills.
· Proficiency with office software (e.g., Microsoft Office) and medical practice management software (ex: eMDs).
· Excellent verbal and written communication skills.
· Ability to maintain professionalism and handle sensitive patient information with discretion.
· Knowledge of medical terminology and insurance verification procedures is a plus.
· Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
Working Conditions:
· Part-time position working 4 days a week in a Monday – Friday work week.
· The position requires sitting for extended periods, as well as frequent phone use and computer work.
· The position requires an employee who will be punctual and adhere to scheduled work hours.
