What are the responsibilities and job description for the Accounts Payable Clerk position at Family Centers?
The Role
Reporting to the Accounting Manager, the Accounts Payable Clerk is responsible for processing all payables; reconciliation of bank accounts; monitoring and recording of cash receipts, and credit card activity. The incumbent has significant day-to-day interaction with the agency’s employees at all levels.
Essential Functions
- Process all vendor invoices and employee expense reports for payment in a timely manner, with a keen eye for accurate coding, backup, and approvals
- Serve as the primary point of contact with our credit card processor
- Interface with the Development team to ensure successful utilization of merchant processing as required for events and funder donations
- Run weekly checks and EFT payments
- Monitor bank accounts for incoming and outgoing wire and EFT activity
- Enter all daily cash receipts correctly in Cash Book and General Ledger
- Maintain Cash Journal spreadsheet and ensure it is reconciled monthly
- Setup and maintain accurate records, vendor files and cash receipts
- Reconcile special events and fundraising campaigns, particularly at year end
- Support financial statement audits and other audits as requested
- Be open and innovative with respect to using technology in new ways to streamline workflow
Qualifications and Educational Requirements
- The successful candidate will have a relevant Associates year degree (Accounting or Business preferred) and at least 3 years of accounts payable experience
- Must be competent with Microsoft Office, especially Excel.
- Proficiency with at least one general ledger systems (we use Sage’s MIP).

- Ability to work onsite in Greenwich, CT
- Must be highly organized and detail oriented, with ability to handle confidential information, multitask and prioritize.
- Ability to operate in high workflow environment with a consistent positive attitude toward internal and external customers. This position requires flexibility and resilience.

Preferred Education and Experience
- Bachelor’s degree in Accounting or Business
- Non-profit experience is helpful
