The Intake Specialist plays a vital role in welcoming clients to the behavioral health clinic and ensuring a seamless intake process. This position involves conducting initial screenings, gathering relevant client information, and coordinating with clinical staff to support timely and effective care. The Intake Specialist serves as a compassionate first point of contact, providing clients with information about services and ensuring their needs are addressed promptly and professionally.
The position is full-time, in-person and based out of Family Centers’ Greenwich or Stamford location.
Supervision is provided by the Senior Director of Behavioral Health. Additional support and training are provided by the Manager of Administrative Services.

Family Centers is a private, nonprofit organization offering health, education and human service program to children, adults and families in Fairfield County, CT. More than 250 professionals and over 500 trained volunteers collaborate to provide our communities with a wide range of responsive and innovative services. Through our comprehensive network of services, more than 23,000 children, adults, families, and communities receive the care, encouragement and resources needed to realize their potential.
Our counseling and mental health services help individuals, couples and families resolve a wide range of personal and relationship issues. All services are facilitated by trained mental health professionals and provided in our licensed and accredited centers located in Greenwich, Stamford and Darien.

Duties And Responsibilities
- Conduct phone screenings to assess client needs and determine appropriate services.
- Provide empathetic, non-judgmental support to clients during the intake process.
- Gather and document client history, including demographic, medical, and psychosocial information.
- Verify insurance benefits, update electronic medical records, and inform clients.
- Schedule initial appointments and ensure smooth handoff to clinical staff.
- Maintain accurate, confidential records and complete required documentation.
- Facilitate referrals and collaborate with internal/external providers.
- Provide compassionate support, educate clients on services, and address inquiries.
- Assist with administrative tasks, including answering phones and responding to emails.
- Participate in staff meetings, training, and process improvement initiatives.
- Maintain accurate and confidential client records in accordance with HIPAA and clinic policies.
- Generate and analyze reports related to intake activities.
- Contribute to the development and improvement of intake procedures.
- Ability to adhere to Family Centers’ Seven Standards of Excellence
- Ability to communicate effectively with strong verbal and written skills,
- Ability to maintain strict confidentiality
- Ability to seek support from supervisor and other staff as needed.
- Ability to relate well to others, including all Family Centers staff/Contractors, outside agencies and clients.
- Basic knowledge of therapeutic approaches for all ages, individuals and families.
- Strong computer skills
- Associate or bachelor’s degree in human services, social work, healthcare or a related field
- At least 1-2 years of experience in medical or behavioral health scheduling, or a similar administrative role.
- Familiarity with electronic health records (EHR) and scheduling systems with EPIC a plus.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Fluent in English and Spanish.
- Demonstrated strong organizational and time-management abilities.
- Proven success in handling high call volumes and multitasking in a fast-paced environment.
- High attention to detail and excellent organizational skills.
