Job Title: IT Asset Coordinator

FLSA status: Non-Exempt

Department: Information Technology

Reports to: Senior Project Manager

Position summary: The IT Asset Coordinator is responsible for managing the inventory of hardware, software, and other IT-related assets within the organization. This role includes purchasing IT equipment, submitting purchase orders (POs), and staging equipment for deployment to onsite locations. The IT Asset Coordinator ensures that all assets are properly tracked, maintained, and ready for deployment while supporting the IT team with technical tasks and troubleshooting when required.

Position Responsibilities

  • Meets and exceeds expectations of the Family Express culture including building relationships, promoting the Living Brand, and serves as a product brand advocate
  • Adheres to company approved accounting procedures
  • Acts as company liaison and negotiates best pricing with vendors and contractors
  • Seeks, promotes and implements “Best Practices”
  • Maintain accurate and up-to-date records of all IT assets, including hardware, software, and accessories.
  • Perform regular physical inventories of IT equipment and software licenses to ensure alignment with system records.
  • Track asset assignments, including deployments, returns, and disposals.
  • Coordinate the procurement, storage, deployment, and disposal of IT hardware and software.
  • Work with the IT department to schedule the replacement and upgrading of obsolete equipment.
  • Manage the return process for defective or unused items
  • Submit purchase orders (POs) for IT equipment, software, and supplies as requested by the IT department.
  • Ensure the correct items are ordered according to department specifications and requirements.
  • Coordinate with vendors and suppliers to procure IT resources in a timely manner.
  • Track and manage the delivery of purchased items to ensure they are received on time and in good condition
  • Stage IT hardware and software for deployment to onsite locations.
  • Prepare and configure equipment, including installing necessary software, updates, and configurations before deployment.
  • Ensure equipment is properly tested and ready for use before being deployed to end users or onsite locations.
  • Work closely with the IT teams to ensure timely and efficient equipment rollout.
  • Maintain clear documentation for all IT assets, including serial numbers, warranty information, and licensing details.
  • Ensure proper labeling and tracking systems for all hardware, including scanning barcodes or tags for easy identification
  • Ensure compliance with environmental and data security policies when disposing of or recycling outdated or unused equipment
  • Coordinate with external vendors for equipment repairs, replacements, and procurement.
  • Monitor vendor performance to ensure timely delivery and quality of products
  • Other duties as assigned in the responsibility matrix

Requirements

Role Qualifications:

  • Bachelor’s Degree or the equivalent combination of experience and education.
  • Dependable transportation
  • Ability to travel daily between required Family Express locations or other non-Family Express locations when necessary

Nonessential Skills And Experience

  • Bachelor’s Degree in Computer Science or the equivalent combination of experience and education.
  • Previous Information Technology retail experience. Preferably convenience stores.

Physical Demands And Work Environment

  • Physical Demands: While performing the duties of this job, the associate is required to stand for prolong periods; work longer than eight (8) hour shifts, reach climb, balance, stoop, kneel, crouch; talk or hear; smell. The employee must occasionally lift and/or move up to 50 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus.
  • Work Environment: Must have flexibility to work all shifts, all days of the week, when necessary. Ability to tolerate extreme temperatures for a minimum of 30-minute intervals. Exposure to dirt, dust and cleaning solvents.
