Position Overview: We are seeking a highly organized and proactive Executive Assistant to support our CEO. This role requires exceptional organizational skills, discretion, and the ability to manage multiple tasks and collaborate with other team members and departments. The ideal candidate will be a self-starter who can anticipate the needs of the CEO and ensure smooth day-to-day operations.
Key Responsibilities:
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Manage the CEO's calendar, including scheduling appointments, coordinating meetings, and ensuring timely follow-ups.
- Prepare and edit correspondence, reports, and presentations on behalf of the CEO.
- Handle confidential information with the utmost discretion and professionalism.
- Coordinate travel arrangements and itineraries for the CEO.
- Assist in organizing company events and meetings, ensuring all logistics are handled efficiently.
- Liaise with various departments to ensure alignment with the CEO's directives and company objectives.
- Perform general administrative duties, including answering phone calls, managing emails, and maintaining organized filing systems.
Qualifications:
- Proven experience as an Executive Assistant or similar role, preferably in a legal or professional services environment.
- Experience with Project Management a plus.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite.
- Proficiency in Canva is a plus.
- Ability to work independently and collaboratively in a fast-paced environment.
- High level of discretion and confidentiality.
- Detail-oriented with strong problem-solving skills.
