Job Summary: The Optometric Assistant plays a crucial role in ensuring the smooth operation of our optometry clinic. Under the supervision of an Optometrist, the assistant provides both administrative and clinical support, contributing to the overall patient experience and the efficiency of eye care services. This position involves a variety of tasks, including preparing patients for eye examinations, performing preliminary tests, maintaining patient records, and assisting with vision correction preparations such as eyeglasses and contact lenses. The Optometric Assistant is also responsible for educating patients on eye care practices, managing referrals, and handling insurance inquiries. Additionally, the assistant participates in our mobile optometry outreach program, traveling to outreach sites to set up mobile clinics and provide eye care services to underserved communities. The ideal candidate will be organized, patient-focused, and capable of multitasking in a fast-paced environment. Strong communication skills, attention to detail, and a commitment to providing excellent patient care are essential for success in this role.
Primary Responsibilities:
1. Assist the Optometrist:

- Prepare Patients for Vision Examinations: Ensure patients are comfortable and informed about the examination process. Perform preliminary tests such as lensometry, and assist in testing for near and far acuity, corneal curvature, depth perception, macula integrity, color perception, and visual field using ocular testing apparatus.

- Administer Eye Drops: Instill eye drops using sterile techniques and provide patient education on the purpose and effects of the drops as ordered by the Optometrist.

- Scribe During Examinations: Accurately document the Optometrist's findings and instructions during patient examinations to ensure comprehensive patient records.

- Assist with Specialized Tests: Help the Optometrist with specialized tests and procedures, including visual acuity tests, refraction tests, and other diagnostic assessments.

- Patient Education: Educate patients on eye care practices, the use of eyeglasses and contact lenses, and post-examination care instructions.

- Follow-Up Care: Assist with follow-up care by scheduling appointments, obtaining referrals, and providing patients with necessary information regarding their treatment plans.

- Insurance and Referrals: Obtain prior authorizations from insurance companies, assist patients in understanding their insurance coverage, and manage referrals to other healthcare providers as needed.
2. Administrative Duties:

- Answer phones, schedule appointments, and maintain patient records.

- Document patient care information and history in the Electronic Health Record (EHR).

- Address assigned tasks within the EHR and document care during computer downtime.
3. Clinical Support:

- Maintain inventory and ensure equipment is clean and functional.

- Perform routine checks on equipment and emergency kits.

- Clean and prepare examination rooms between patient visits.
4. Mobile Optometry Outreach Program:

- Travel to outreach sites and set up mobile clinics.

- Perform clerical tasks and maintain accurate health records.

- Escort children and interact professionally with school staff.

- Facilitate care delivery with parents regarding referrals and follow-ups.
5. Training and Compliance:

- Assist with orientation and training of new staff.

- Maintain appropriate certification/licensure and complete required competencies.

- Follow HIPAA laws and organizational safety policies.
6. Customer Service:

- Communicate professionally with patients, staff, and vendors.

Qualifications:
- High school diploma or equivalent.
- Formal training or equivalent experience in aspects of the profession (approximately one or two "semester-length" post-high school classes or certificate/technical programs lasting up to one year).
- Strong understanding of and experience in applying techniques and practices of the field.
- Previous experience in a healthcare setting preferred.
- Strong organizational and communication skills.
- Ability to work independently and as part of a team.
- Proficiency with EHR systems and basic computer skills.
- Willingness to travel for outreach programs.
Licensing and Certification:
- Certification and experience preferred but not required.
