PRIMARY ROLE OBJECTIVE: The Dental Operations Manager provides multi-site leadership to the dental staff working closely with department supervisors to ensure high-quality, compliant clinic operations. They oversee administrative functions and collaborate with supervisors to provide leadership and operational support to clinic teams. This role is responsible for developing efficient administrative workflows and enhancing interdepartmental communication under the guidance of the Executive Director of Dental Operations. The Dental Operations Manager plays a key role in driving performance, meeting business objectives, and ensuring optimal patient care and access.
SUPERVISORY RESPONSIBILITIES:
This position provides supervision and ongoing leadership support to all Dental staff in coordination with the clinic's supervisor team.
MAIN DUTIES & RESPONSIBILITIES:
1. Oversees ordering of supplies in coordination with the Centralized Inventory & Purchasing Specialist.
2. Manages clinic spending to align with financial sustainability goals and minimize waste.
3. Assists in HR in recruitment, retention, and onboarding of dental staff.
4. Manages job requisitions, pre-screening, interview coordination, and new hire orientation.
5. Supports Clinic Supervisors/Trainers in staff performance evaluations, counseling, and coaching.
6. Acts as the primary manager of staff and provider schedules, ensuring that daily clinic coverage aligns with patient volume and provider needs.
7. Manages time-off requests in collaboration with Clinical Supervisors and Customer Service Manager.
8. Adjusts staffing in response to real-time operational needs and unforeseen changes.
9. Assists in daily clinic operations, ensuring adherence to policies, procedures, regulations, and best practices to establish and reinforce a “continuous compliance” clinic culture.
10. Collaborates on tracking, policy updates, and process improvements for continuous compliance.
11. Supports leadership in maintaining Joint Commission (JC) and HRSA standards.
12. Works with department leaders to optimize patient access, maintain consistent care quality, and enhance patient satisfaction.
13. Fields patient concerns and complaints, ensuring prompt resolution and follow-up.
14. Supports quality improvement initiatives, key performance indicators (KPIs), and process workflows.
15. Collaborates with supervisors to maintain a safe, compliant work environment, adhering to federal, state, and local laws (e.g., HRSA, OSHA, WISHA, HIPAA, JC, ADA).
16. Promotes “Just Culture” while assisting in incident investigations/reporting and patient complaint follow-up, ensuring all FHC policies are adhered to and retraining is provided when needed.
17. Manages payroll time tracking (ADP) for providers in coordination with department supervisors.
18. Contributes to policy updates, training plans, and strategic goal achievement, including Meaningful Use and Patient-Centered Medical Home standards.
KNOWLEDGE, SKILLS & ABILITIES:
Expertise in Electronic Health Records (EHR)/Electronic Dental Records (EDR) and Electronic Practice Management (EPM) systems Strong ability to navigate complex and ambiguous situations with professionalism Skilled in de-escalating conflicts and handling unpredictable incidents Experience in data collection, reporting, and analysis to drive business decisions Ability to lead and foster inclusion in a diverse environment In-depth knowledge of healthcare or dental clinic operations
EDUCATION & EXPERIENCE:
5 years’ experience in healthcare, dental care or related field at a supervisory capacity
BA Preferred, though experience can be substituted
AA or Certification required in Business or applicable field
ELIGIBILITY QUALIFICATIONS:
Valid Driver’s License
