Position Summary
- We are seeking a highly organized and proactive Executive Assistant to provide top-tier administrative support to our Chief Executive Officer (CEO) and Director of Programs. The ideal candidate will be a self-starter with exceptional communication skills and the ability to work across multiple departments. This role requires initiative, adaptability, and a commitment to FND’s mission of serving families and children with disabilities.
Key Responsibilities
Administrative Support:
- Manage and maintain the CEO’s and Director of Programs’ calendars, including scheduling meetings, appointments, and travel, and email.
- Screen and prioritize phone calls, emails, and other correspondence.
- Prepare meeting agendas, take minutes, and follow up on action items
Project Coordination:
- Coordinate cross-departmental projects and ensure tasks are completed on time and within scope.
- Act as a liaison between executive leadership and various internal teams, ensuring clear and efficient communication.
Communication & Collaboration:
- Communicate effectively with stakeholders, including board members, donors, partner organizations, and staff.
- Maintain and update contact databases, distribution lists, and organization charts.
Organizational Efficiency:
- Proactively identify process improvements to enhance efficiency and effectiveness in the executive office.
- Maintain confidential files and records, ensuring data privacy and compliance.
- Assist with event planning, special projects, and other duties as assigned.
Qualifications:
- Experience:
- Minimum of 4 years of administrative or executive assistant experience, preferably in a nonprofit or mission-driven organization.
- Demonstrated ability to manage multiple projects with competing deadlines.
Skills & Abilities:
- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Teams).
- High level of discretion in handling confidential information.
Compensation and Benefits:
- Full-Time: 32 hours per week at full salary.
