Overview
We are seeking a detail-oriented and proactive Virtual Assistant to support our team. We are Multi-family Office that provides professional services to small businesses and real estate investors. This role is ideal for someone who thrives in a remote work environment and is skilled in managing multiple responsibilities efficiently. The Virtual Assistant will play a crucial role in enhancing productivity by providing executive administrative support, ensuring smooth operations, and assisting with various projects.
Administrative and Client Support Tasks:
- Answering and directing incoming phone calls
- Responding to voicemail messages promptly
- Conducting client follow-ups to ensure satisfaction and address any concerns
- Maintaining and updating client contact information in the database
- Scheduling appointments and managing calendars
- Replying to general inquiries via email or phone
Recruitment and Human Resources:
- Recruiting and interviewing potential candidates for various roles
- Assisting with the onboarding process for new hires
- Maintaining employee records and documentation
Research and Reporting:
- Conducting research on industry trends and relevant topics
- Preparing reports and presentations for internal or client use
- Analyzing data and providing insights
Specialized Tasks (CPA, Real Estate, Production, Admin):
- CPA: Assisting with tax preparation, bookkeeping, and financial analysis
- Real Estate: Supporting real estate transactions, property management, and market research
- Production: Coordinating production schedules, managing resources, and ensuring deadlines are met
- Admin: Providing general administrative support, including document management, filing, and data entry
Additional Responsibilities:
- Tracking client lists and project statuses to ensure projects are on track
- Maintaining confidentiality of sensitive information
- Collaborating with team members to achieve shared goals
- Attending meetings and training sessions as required
- Performing other duties as assigned
Requirements
- Proven experience in executive assistance or in a similar administrative role.
- Proficiency in Google Suite and Intuit applications (Docs, Sheets, Drive, QBO).
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent typing skills with attention to detail for transcribing and data entry tasks.
- Familiarity with proofreading techniques to ensure high-quality written communication.
- Ability to work independently while maintaining effective communication with team members.
- Experience with executive administrative support is preferred but not mandatory.

Pay: $28.00 - $30.00 per hour
