In this role, you will partner with the Executive Assistant to support the agency's needs, including assisting the leadership team and influencing the daily operations of the organization.

Key Responsibilities
- Provide high-level administrative support to the Executive Assistant by prioritizing and managing the daily needs of the CEO and the organization, including handling special projects as assigned.
- Create an exceptional, hospitality-driven experience for employees and guests by offering a warm, welcoming greeting and ensuring they feel valued and are directed to the appropriate resources. Answer phone calls with a focus on personalized, attentive service, ensuring every interaction reflects care and respect.
- Act as a point of contact for internal and external stakeholders, ensuring clear communication and timely follow-up.
- Prioritize and manage time-sensitive tasks effectively, ensuring deadlines are met and critical needs of the leadership team are addressed promptly and efficiently.
- Handle confidential and sensitive information with discretion, maintaining the highest standards of professionalism.
- Assist in preparing reports, presentations, and documents for leadership and board meetings. This includes coordinating travel arrangements, registering for conferences, and preparing expense reports.
- Oversee office supplies and support general office operations to ensure smooth functioning.
- Maintain an organized and efficient office environment, ensuring spaces are tidy and stocked with necessary supplies.
- Foster a positive workplace culture by building strong relationships, role-modeling agency values, and actively contributing as an engaged team member.
- Participate in onboarding new hires, ensuring they feel welcomed, supported, and aligned with the organization's values from day one.
- Anticipate the needs of staff and leadership, proactively addressing concerns and offering exceptional service.

- High School Diploma or equivalent required; post-secondary education preferred.
- 2-4 years of experience in administrative support, office management, or a related field.
- Exceptional customer service and communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite; experience with SharePoint, and Teams is a plus.
- A self-starter with excellent organizational skills, attention to detail, and the ability to manage multiple priorities.
- Ability to excel in a fast-paced environment, adapting to shifting needs with flexibility and poise.
- Proven ability to think creatively and solve problems independently.
- Experience working with individuals with developmental disabilities is a plus.
- Bilingual Spanish skills are a plus
Salary : $40,000
