What are the responsibilities and job description for the Office Manager position at Family Service of Champaign County?

Family Service is looking for an energetic, positive office manager to help us keep all the balls in the air as we expand. We need someone who has an eye for detail in three areas:
Accounting/General Bookkeeping Duties
In this position, you’ll keep our go-to QuickBooks person. You’ll manager our accounts payable, bank deposits, donor contributions, timesheets/payroll, and you’ll be responsible for month-end close procedures. You’ll also assist in the annual independent audit.
HR Administrator Roles
As our in-house HR person, you’ll be responsible for maintaining employee files and payroll records. You’ll help us with posting our open positions, screening applicants, and onboarding new hires. We’ll also put any benefits programs in your capable hands, and you’ll see to it that every staff member is enrolled appropriately. Finally, you’ll be the Keeper of the Personnel Handbook, which means you will assist the Executive Director in keeping staff compliant with the handbook, especially with respect to employee trainings and appraisal processes.
IT, Office & Other Roles
“I can’t print.” “My phone won’t dial out.” “The copier is jammed.” You’ll be the first point of contact when our staff members need help wielding technology. This role goes way beyond just ordering supplies. You’ll be working with our extensive senior volunteer corps, keeping databases up to date, and seeing to it that our office (both the people and the building) are in tip-top shape.

QUALIFICATIONS:

Minimum Qualifications
· 3 years’ experience in office management
· High School education and/or equivalent
· Knowledge and understanding of general business matters required, including budget development, financial reporting, cash management and business taxes.
· Excellent personal computer skills and experience with standard business software, especially Microsoft Office.
· Strong attention to detail and ability to prioritize and manage multiple projects.
· Ability to relate effectively to diverse groups of people from all social and economic segments.
Preferred Qualifications
· Associate’s degree in accounting, business, finance or equivalent experience.
· 3 years of leadership experience
· Working knowledge of donor relation software
· Previous leadership experience in a nonprofit organization

Any individual who is the subject of a pending investigation by the Department of Children and Family Services for child abuse or neglect, or who has been the subject of an indicated abuse or neglect report, which indicated report has not subsequently been overturned on an appeal, is not eligible for employment at Family Service. Current Investigation by or substantiation of elder abuse, neglect, or exploitation by an adult protective services agency also disqualifies person for employment at Family Service until and unless allegations are found to be unsubstantiated.
