What are the responsibilities and job description for the Part Time-Evening Receptionist/Admin asst. position at Family Services of Warren County, Inc.?
Receptionist: Welcomes clients and visitors by greeting them in person or over the phone, answers inquires, and refers to the appropriate person. Schedule clients for clinical staff, work with supervisor on managing the wait list, collects copay and deductibles for services at the time of service, opens and closes clinical charts, make copies as needed, fax documents for clinical staff, mail documents as needed, make reminder phone calls, manage re-engagement and discharge letters for substance abuse clients, print encounter forms. Providing on going support to the Executive Director through various administrative assistant duties. Hours are primarily Monday- Thursday afternoon into evening but flexible as needed.
Assisting Business Office Manager and Executive Director with tasks such as newsletter, fundraising and community events.
Requisite education, skills, and experience:
High school graduate or equivalent. 1 year of experience in an office setting, including secretarial and receptionist duties. Current valid driver’s license and vehicle routinely available for errands. Personal attributes include maturity, responsible, respectful and polite, willing to respect confidentiality, neat in appearance and welcoming, able to work effectively without close supervision, able to initiate ideas for program improvement, dependable. Skills necessary to perform the job well include organization, ability to manage a variety of tasks simultaneously, effective time management, including task prioritization. Computer skills (or demonstrated ability to learn) include data base, spread sheet, and word processing on Microsoft Work/Excel, etc. Office machine operation and routine care include keyboard/computer, fax, printer, scanner, copier, multi-line telephone.
