Description:
The Office Administrative Assistant acts as a bridge between clinicians and clients handling scheduling, insurance verification, payment, and general daily preparation of the office. This position will report to the Clinical Director/General Office Manager.
Duties Assigned:
- Diligently maintain confidentiality at all times with regard to HIPAA guidelines both during and after working hours. Failure to maintain confidentiality will result in immediate disciplinary action/possible termination.
- Report to clinic on time daily to check voicemails, emails, faxes, and count money from the previous day
- Close office effectively as to be ready for the following day
- Perform light cleaning and generally maintain a tide and professional office
- Greet clients and provide help and/or direction and alert clinicians of clients’ arrival
- Answer all income phone calls professionally to schedule new clients, reschedule clients, answer questions, transfer calls, or other duties as appropriate
- Manage multiple situations at once (i.e. client enters clinic for check-in while office staff is attending to a client call)
- Check clients in and out of office in a timely manner while maintaining a positive attitude
- Complete intake process for new clients including, intake forms, obtaining insurance information, pre-certifying benefits
- Navigate electronic health record, enter information into system, gather information from system, send appointment reminders, keep schedule up to date, etc.
- Log all payments and transactions. Failure to maintain accurate money collections will result in immediate disciplinary action/possible termination.
- Learn and know each clinician’s specialty, accepted insurance plans, and fees
- Manage each clinicians schedule up to one month in advance and fill each available day with appointments while maintaining a client waitlist and filling the schedule upon cancellation
- Prepare and ensure all intake paperwork is complete, pre-verify insurance, notify client of co-payment, make client aware of clinic location, and instruct client to arrive early prior to the intake client’s first appointment
- Enter appropriate CPT codes for appointments as directed by each clinician
- Work with Billing Department to timely and accurately process claims and update the electronic health records accordingly
- Assist clinicians as needed between appointments (i.e. paperwork, authorization numbers, activity sheets, treatment plans)
Requirements:
- High School Education/GED from an accredited High School
- 2 years of administrative assistance, preferred experience in a medical office setting
- Excellent verbal and written communication skills
- Interpersonal skills and pleasant demeanor; ability to communicate effectively with clients, their loved ones, and others professionals
- Ability to keep schedules, documents, and other information organized and easily accessible
- Ability to prioritize and multitask
- Computer skills required, experience with electronic medical records preferred
- Ability to perform light cleaning duties
