Summary
As an Electronic Health Records Administrator at Family Solutions, you will play a pivotal role in overseeing the delivery of mental health services. This position is essential in ensuring that our programs run smoothly and effectively contribute to our mission of supporting families and enhancing their well-being. This position is responsible to ensure that all scheduled activities in Carelogic make it through Billing to Claim Approval, work Failed Activities and Failed Claims to resolution, claim reversals due to various issues, resolve self-pay claims, claim correction and manual claim entry through MMIS, assist in batching and uploading claims to clearinghouse when needed, oversee claim submissions through clearinghouse, troubleshoot rejected clearinghouse claims to resolutions, oversee A/R entry, approve all payments and recoups, support the Billing Specialist with claim follow-up, follow-up on various billing issues that may pose timely filing issue, run A/R reports, submit voided claims and payer Appeals when needed.
Responsibilities
- Billing:
- Oversee payment entries in CareLogic, ensuring accuracy and completeness.
- Follow up on all unpaid or denied claims.
- Update client payer information as required.
Credentialing:
- Credential and panel service providers with all payers.
- Manage the credentialing and contracting of the agency with all payers.
- Maintain updated records for Third-Party Administrators (TPAs).
EHR Administration:
- Manage employee accounts in CareLogic, including additions and deletions.
- Ensure compliance with regulatory requirements and adjust documentation as necessary.
- Correct scheduled activities and documentation as needed.
- Update billing configurations in CareLogic.
- Monitor clients for state reporting needs and ensure timely discharges.
- Identify and address billing errors in collaboration with appropriate staff.
- MOTS Administration – batch and upload MOTS records to the state, receive Result files, make needed corrections to individual MOTS records and re-upload corrected files. Goal is to resolve all errors in the MOTS record and receive an error free Results file.
- Manage Organizations, Programs and Activities, Coordinate with Finance Manager and Clinical Management regarding system issues impacting billing, setup and manage Descriptor lists, manage and edit privilege groups, establish and improve menu management with agency changes and needs, manage dashboard administration, manage bed administration, manage security rules, black box administration, create and manage program schedule/shifts, monitor Qualifacts release notes and system updates, inform staff of updates as applicable, post Production downtimes, implement changes and upgrades and ensure system is being used in a manner that is HIPAA compliant
Other Duties and Responsibilities:
- Generate and submit weekly client change reports (EDI) to the state.
- Assist program administrative staff with billing-related tasks and other reporting.
- Review and manage invoice billing to the state.
- Export revenue reports from CareLogic into Excel for invoicing and revenue tracking.
- Handle manual claim corrections and occasional full manual claim entry through the OHA (MMIS) portal.
- Ensure coordination between billing and clinical systems for maximum reimbursement.
- Perform other duties as assigned.
- MOTS Administration – batch and upload MOTS records to the state, receive Result files, make needed corrections to individual MOTS records and re-upload corrected files. Goal is to resolve all errors in the MOTS record and receive an error free Results file.
- Pentaho Reports – Submit monthly Unsigned Document reports to supervisors for all programs.
- System Administration – Manage Organizations, Programs and Activities, Coordinate with Finance Manager and Clinical Management regarding system issues impacting billing, setup and manage Descriptor lists, manage and edit privilege groups, establish and improve menu management with agency changes and needs, manage dashboard administration, manage bed administration, manage security rules, black box administration, create and manage program schedule/shifts, monitor Qualifacts release notes and system updates, inform staff of updates as applicable, post Production downtimes, implement changes and upgrades and ensure system is being used in a manner that is HIPAA compliant
Skills and Qualifications:
- Strong knowledge of billing processes, EHR systems (CareLogic preferred), and state compliance requirements.
- Experience with claims resolution, credentialing, and payer management.
- Proficiency in Excel and other reporting tools.
- Excellent organizational and problem-solving skills.
- Strong attention to detail and ability to manage multiple tasks effectively.
Qualifications
- Associates degree in billing and coding and/or 3 years combination of education and billing experience.
- Proven experience in a medical office or healthcare administration role.
- Strong understanding of medical records management and medical terminology.
- Excellent organizational skills with the ability to manage multiple priorities effectively.
- Familiarity with healthcare systems and compliance regulations is beneficial.
- Must be able to clear background check conducted through DHS. Must be able to clear a screening through the Medicaid Fraud Database and the OIG Database.
