Summary:
Responsible for the oversight and coordination of the credit union’s facilities and physical security operations. This position ensures the safety, security, and maintenance of all facilities while managing vendor relationships to optimize services and reduce operating expenses. Additionally, the role includes implementing security policies, overseeing maintenance and security systems, and training employees on security protocols. The Facilities & Security Officer plays a critical role in maintaining a safe, secure, and well-maintained environment for employees and members.
Essential Duties & Responsibilities:
- Oversee facility maintenance and operations, ensuring the proper upkeep of all credit union buildings, ATMs, and properties. Manage vendor relationships for janitorial services, landscaping, and general maintenance while coordinating repairs for lighting, plumbing, painting, electrical systems, and other facility-related needs. Schedule routine maintenance for buildings, grounds, and credit union-owned vehicles. Maintain and update building plans in a centralized system.
- Manage contracts and vendor negotiations, ensuring cost-effective service agreements for facility and security-related needs, including maintenance, equipment procurement, and operational services. Oversee inventory control of maintenance supplies and ensure timely acquisition of necessary facility equipment.
- Ensure exterior upkeep and property management, including parking lot and drive-through maintenance, power washing, snow/ice removal, and property safety enhancements.
- Oversee security and safety systems for all credit union facilities, including managing access controls, surveillance, and alarm systems. Ensure all security equipment is properly maintained, operational, and regularly tested.
- Manage security vendor relationships, including contract negotiations and coordination of services. Work with local law enforcement on security-related incidents and investigations, ensuring compliance with regulatory requirements.
- Support emergency response planning and crisis management, coordinating response efforts for facility-related incidents such as power outages, flooding, fire safety, or security threats. Maintain emergency procedures and ensure employees are trained on response protocols.
- Provide security and safety training, assisting in employee education on workplace safety, fraud prevention, robbery response, and emergency preparedness. Maintain and update security processes to align with industry best practices.
- Develop and manage the facilities and security budget, ensuring cost-effective operations, vendor contract efficiency, and adherence to financial guidelines. Monitor expenses, identify cost-saving opportunities, and provide budget reports to senior administration.
- Coordinate workspace planning and office relocations, ensuring efficient use of space, ergonomic considerations, and minimal disruption to operations during facility modifications or staff moves.
- Understand and comply with credit union policy, laws, regulations, and the credit union’s BSA/AML/CIP/OFAC Program, as applicable to your job duties. This includes but is not limited to complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious member and/or account activity.

Qualifications / Education / Experience:
Experience: Two to five years of similar or related experience.
Education / Certifications / Licenses: A college degree or equivalent experience is desired.
Interpersonal Skills: A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and/or is usually of a personal or sensitive nature. Work may involve motivating or influencing others. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary.

Working Environment & Physical Demands:
Perform a combination of active and administrative work, frequently moving between office spaces, branches, and outdoor areas to oversee facility maintenance and security operations. Ability to lift up to 50 lbs, stand for extended periods, and perform hands-on facility tasks as needed. Regularly required to walk, bend, kneel, and climb ladders or stairs to inspect, maintain, or troubleshoot facility and security systems. May be exposed to various weather conditions while overseeing exterior maintenance, parking lots, and security systems. Must be able to work extended hours as required by management, including occasional evenings, weekends, or emergency situations related to facility or security concerns. Capable of regular, reliable, and timely attendance, with the ability to respond promptly to urgent facility or security-related issues.
