REPORTS TO: VP of Analysis & Planning

JOB SUMMARY:

The Lease Administrator offers an opportunity for someone to collaborate across multiple internal departments (property management, accounting, leasing, and corporate) to ensure all transactions are completed with accuracy and through strategic analysis. This role will function as the primary resource for all lease transactions, as well as administrative office support for the corporate office. The Lease Administrator is ideal for someone with extraordinary organizational and communication skills, as well as the aptitude to work on a variety of projects often in a time-sensitive manner.


RESPONSIBILITIES:

Leasing Administrator: 

  • Assist in drafting and preparation of various commercial real estate documents including but not limited to lease documents, amendments, tenant notices, license agreements and storage agreements.
  • Update and maintain forms to be used in the drafting of legal documents.
  • Abstract critical lease terms, including recovery clauses and options.
  • Regularly review critical lease dates and options (expansion, extension and ROFO) maintained in MRI software; present to Leadership as needed.
  • Field and discuss lease-related questions and/or open issues with Property Managers and follow up with other departments as needed.
  • Assist Property Managers in maintaining suite lists.
  • Review property stacking charts monthly to ensure accuracy.
  • Maintain lease comparable (lease comps) spreadsheet.
  • Monitor Costar to ensure accurate reporting for FW properties.
  • Schedule and participate in leasing meetings; take meeting notes and update internal trackers as needed.
  • Prepare and distribute weekly leasing reports.
  • Review, approve and track leasing commissions.
  • Generate invoices for leasing commissions and leasing administrative fees when appropriate.
  • Collaborate across multiple internal departments (property management, accounting, leasing, corporate) and work closely with third-party brokerage teams.
  • Assist with special projects and provide ad-hoc support to Property Management, Leasing, Construction, Accounting, and other corporate staff as needed.


Administrative Support:

  • Communicate effectively with internal and external clients, answering and directing emails and phone calls to the appropriate staff.
  • Leverage software programs to develop crucial presentations, memos, letters, spreadsheets, and reports.
  • Monitor and maintain office supplies.


QUALIFICATIONS:

  • Bachelor’s degree is required, preferrable in business administration, or a related field.
  • 1-2 years of previous knowledge and experience related to the commercial real estate industry with hands-on experience reviewing and interpreting lease agreements.
  • Thorough understanding of commercial real estate stacking plan concepts.
  • Good knowledge of data and cash management software such as Microsoft Excel, MRI and Nexus is preferred.
  • Excellent customer service skills.
  • Ability to multi-task with a strong ability to prioritize responsibilities and tasks.
  • Detail-oriented with solid analytical, problem-solving skills.
  • Results-oriented with a desire to learn.
  • Ability to work independently and achieve results as part of a team.
  • Ability to effectively interface with all departments of the company in a highly professional manner.
  • Strong written communication skills


COMPENSATION:

Commensurate with experience.
