What are the responsibilities and job description for the Accounting/Receptionist Admin position at Farm Fresh Turkey Products?
Basic Purpose
Serve as receptionist for company corporate office while performing primary duties of customer invoicing not limited to creating invoices from shipping information, issuing invoices to customers, coding transportation invoices, and posting payments to customer accounts while serving as a back up to AP/AR positions. In addition, work on special projects and reports assigned by accounting management while supporting clerical needs of other accounting departments.
Essential Job Duties & Responsibilities:
1. Answer telephone, screen, and direct calls, take messages and relay as necessary
2. Greet people entering the facility and direct people to the correct destination.
3. Customer Invoicing based on supporting information to properly, accurately and timely close sales cycle at time of order shipment/fulfillment)
4. Coordination as necessary with Shipping Team, Warehouse Management team, Leadership Team
5. Filing, not limited to BOL’s each month, payment records by date/month, and other related accounting documents
6. Manage, validate, and apply payments/cash through pulling payment information from designated areas, posting payments, retaining & saving documentation related to payments and individual customer accounts.
7. Record any short payments or invoice deductions. Make copies of these documents and forward them to accounting assistant A/R.
8. Prepare Ad Hoc reports as requested
9. Process Transportation invoices, code with proper GL number and enter into ERP and TMS system
10. Order Office Supplies (via Staples, and Sam’s club)
11. Coordinate lunches for business meetings at the corporate office as requested
12. Manage conference room schedule at the corporate office.
13. Receive, scan, and maintain Certificate of Insurance for outside vendors
14. Back-up Accounts Payable as needed.
15. Provide other clerical support as required
16. Perform other related duties in relation to business needs
Skills/Knowledge/Abilities
Ø Associate degree in accounting or finance or equivalent experience
Ø Two years of experience in accounting support function preferably in the consumer products or food/protein industry; or equivalent combination of education and experience.
Ø Ability to use office equipment such as fax, copier, scanner, and desktop computer.
Ø Knowledge of MS Office Suite of products (Word, Excel, Outlook) and Navision accounting software.
Ø Ability to communicate professionally with internal and external customers.
Ø Ability to apply critical thinking and analytical skills.
Ø Must be detail oriented.
Ø Ability to perform basic math calculations.
Ability to be personable, friendly & customer service oriented
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
